POSITION OBJECTIVE:
The primary aim of this role is to support the Pediatric, Rheumatology, and School-Based Health Center teams. Under the guidance of the Specialties Clinic Manager, the Clinical Operations Supervisor is tasked with overseeing the daily functions of clinic personnel, including back-office medical staff and providers across the Pediatrics, Rheumatology, and School-Based Health Center departments.
KEY RESPONSIBILITIES:
- Organizes staff work schedules, manages time-off requests, processes timesheets, and monitors attendance and punctuality. Collaborates with the Clinic Manager and Director to ensure adequate coverage across all departments.
- Facilitates training and provides support for staff development as required.
- Addresses patient concerns and serves as a liaison between departments to ensure effective resolution of customer service and administrative matters.
- Implements departmental policies and educates staff and patients on their implications.
- Regularly engages with patients and staff to stay informed about their needs and satisfaction with services provided.
- Conducts routine staff and provider meetings as necessary.
- Participates in quality improvement initiatives and implements, assesses, and maintains quality improvement activities for the clinic.
- Ensures that appropriate levels of supplies are maintained and organized.
- Performs clinical duties as assigned, which may include taking and recording vital signs, administering medications, encounter scribing, and direct patient care responsibilities.
- Undertakes additional duties as assigned.
QUALIFICATIONS:
- Associate degree in business or four years of relevant experience in a medical office environment with strong supervisory or managerial skills.
- Current licensure in Oregon as a Licensed Practical Nurse or national certification as a Medical Assistant in accordance with Aviva Health standards.
- Ability to collaborate with the Specialties Clinic Manager and Director, as well as clinic providers, to establish, define, and refine departmental goals and objectives aligned with the Clinic's Mission, demonstrating satisfactory progress towards these goals.
