POSITION SUMMARY:

The Patient Services Representative II (PSR II) operates under the guidance of the Patient Services II Supervisor or FM Clinic Manager. This role involves utilizing established protocols to schedule patient appointments, prepare necessary documentation, and assist in delivering care to patients as needed. The PSR II ensures a smooth and efficient patient flow during clinic hours through effective planning and collaboration with clinic staff and volunteers. The ability to manage multiple tasks in an organized manner while maintaining a high level of accuracy is essential.

KEY RESPONSIBILITIES:

  • Work collaboratively with the immediate supervisor to set, define, and refine departmental goals and objectives aligned with Aviva Health's mission, demonstrating satisfactory progress.

  • Make informed decisions based on measurable data and criteria.
  • Foster positive customer relations, showing respect and sensitivity to cultural and social differences in all interactions.
  • Complete assigned tasks efficiently and within designated timelines.
  • Exhibit initiative and problem-solving skills, demonstrating sound judgment and the ability to take on additional responsibilities with minimal direction.
  • Register patients upon arrival, ensuring all necessary documentation is completed and assisting patients as needed.
  • Screen new patients for eligibility, gather financial and demographic information, and prepare patient charts, including photocopying insurance details.
  • Prepare patient charts for appointments, verifying demographic and financial information, and updating records as necessary.
  • Answer telephone calls courteously, taking messages or directing calls to the appropriate personnel while maintaining communication with patients on hold.
  • Schedule patient visits effectively.
  • Calculate patient charges for services, collect payments, and explain the payment process as needed.
  • Record fee receipts in the practice management system.
  • Complete typing tasks, including clinic letters and forms as requested.
  • Perform various general office procedures to ensure the clinic operates smoothly.
  • Attend required meetings and in-service training sessions.
  • Maintain strict confidentiality at all times.

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Knowledge of Practice Management and Electronic Medical Records is essential.
  • Familiarity with collection procedures and laws is preferred.
  • Typing speed of 40 words per minute and proficiency in operating a 10-key adding machine by touch.
  • Minimum of one year of clerical experience in a customer-facing role is required.
  • One year of clerical experience in a clinical or healthcare setting is preferred.
  • Familiarity with medical terminology and anatomy is necessary.
  • Demonstrated ability to care for and handle patients across various demographics.
  • Ability to employ tact, diplomacy, and kindness in all interactions.
  • Strong interpersonal skills to effectively communicate with the public and colleagues.
  • Commitment to maintaining confidentiality at all times.
