Role Summary

We are seeking a skilled Legal Administrative Assistant to join our Silicon Valley office. This role entails delivering a broad spectrum of administrative support to partners and associates within the firm's Venture Fund practice.

Key Responsibilities

  • Execute a variety of administrative tasks, including document production, organizational duties, research, and client support.
  • Manage attorneys' calendars, organize meetings, handle expense reimbursements, and coordinate travel arrangements.
  • Draft, format, and revise intricate legal documents.
  • Facilitate the preparation of responses to auditor inquiries.
  • Collaborate with attorneys and the Conflicts Department to oversee new client intake processes.
  • Record and monitor attorney time in the time management system.
  • Organize and maintain both paper and electronic filing systems in accordance with firm protocols.
  • Provide backup support to other attorneys and timekeepers as necessary, volunteer for additional assignments, and actively contribute to teamwork initiatives. Participate in projects aimed at enhancing workflow and resolving issues.
  • Take on further responsibilities as required.

Qualifications

  • A minimum of five years of experience as a corporate legal secretary or legal administrative assistant.
  • Advanced skills in Microsoft Word, Outlook, and document conversion tools such as Kofax Power PDF or PDF Creator Plus.
  • Proven ability to manage multiple calendars across various time zones.
  • Experience with document management systems like HP/Autonomy iManage and legal software applications such as Intapp, Aderant, and Chrome River.
  • Exceptional interpersonal, written (grammar, spelling, formatting), and verbal communication skills.
  • Strong problem-solving capabilities.
  • Ability to collaborate effectively with all organizational levels and demonstrate a team-oriented approach.
  • Outstanding organizational skills and meticulous attention to detail.
  • Capacity to manage shifting priorities and adapt to a fast-paced, dynamic environment.
  • Strong analytical and reasoning skills.
  • Commitment to maintaining confidentiality and exercising sound judgment.
  • Willingness to work overtime as needed.

Educational Background

  • BS/BA degree is required.

Employment Status

  • This is a Full-Time, Non-Exempt position.

Work Schedule

  • Monday through Friday, 8:30 a.m. to 5:00 p.m. This position requires an in-office presence.

The anticipated starting salary for this role ranges from $70,000 to $120,000 annually, based on qualifications and experience.
