Job Overview:

We are looking for a meticulous Administrative Coordinator to become an integral part of our client's vibrant team. In this position, you will be responsible for managing essential administrative and financial functions. Your primary responsibilities will include overseeing customer invoicing, performing junior-level accounting tasks, and ensuring effective financial controls are in place. This role presents a fantastic opportunity for individuals who are organized and have a strong interest in finance to contribute significantly to the daily operations of the company.

You will collaborate closely with the finance team and engage with customers regarding billing inquiries. Reporting directly to the Office Manager, you will play a vital role in facilitating seamless financial operations. The ideal candidate is someone who excels in a fast-paced environment, possesses a sharp attention to detail, and is dedicated to maintaining precise financial records.

Key Responsibilities:

  • Oversee the customer invoicing process, ensuring accuracy and promptness.
  • Assist with basic accounting duties, including data entry and reconciliation.
  • Establish and uphold financial checks and balances.
  • Support payroll functions and related administrative responsibilities.
  • Perform general office administrative tasks as required.
  • Maintain organized and current financial documentation.
  • Work with various departments to collect necessary billing information.
  • Respond to customer inquiries regarding invoicing and payments.

Required Qualifications:

  • Demonstrated experience in office administration, particularly in invoicing and basic accounting.
  • Understanding of payroll processes and procedures.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Strong attention to detail and exceptional organizational abilities.
  • Capacity to maintain confidentiality when managing sensitive financial data.
  • Excellent communication skills, both written and verbal.
  • Familiarity with accounting software (e.g., QuickBooks, Xero).
  • Able to work independently as well as collaboratively within a team.

Preferred Qualifications:

  • Experience in the technical solutions or engineering sector.
  • Knowledge of project-based billing methodologies.
  • Familiarity with CRM systems.
  • Interest in pursuing further education or certification in accounting or finance.

Education:

No formal degree is required; relevant certifications in accounting or office administration are advantageous.

Compensation & Benefits:

Hourly rate starting at $25/hr, commensurate with experience.
