Job Overview

The Facilities Project Manager will support the Real Estate Development and Construction Teams. This position is essential for organizing the Swig Development Team to monitor and relay updates regarding construction projects and real estate initiatives, as well as facilitate both internal and external communications as required. The ideal candidate should possess strong organizational skills, efficiency, multitasking abilities, and a commitment to achieving results.

The Facilities Project Manager will report directly to the Directors of Real Estate and Construction, collaborating closely with the entire department under the guidance of the Chief Development Officer.


KEY RESPONSIBILITIES:

  • Budget Management: Ensure timely updates from the Construction Manager to stakeholders.
  • Utility Coordination: Prepare necessary documentation and applications for pre-construction meetings with utility providers, design approvals, and mobilization coordination.
  • Plans, Permits & Fees: Oversee and track the delivery of plans, fees, permits, and related documentation.
  • Project Monitoring: Ensure compliance with landlord and municipal requirements for project initiation, including document submission tracking and calendar management.
  • Announcement Preparation: Draft and manage communications such as Letters of Intent, Lease Agreements, Notices to Proceed, and project completion notifications.
  • Project Close-Out: Compile all necessary documentation including permits, As-Built drawings, completion statements, and warranty information.
  • Accounting Coordination: Manage billing processes utilizing electronic signature tools and tracking systems to ensure prompt vendor payments.
  • Vendor & General Contractor Support: Assist in the Invitation to Bid process and manage vendor relationships effectively.
  • Document Control: Aid in organizing documents and assigning Project IDs.
  • Facilities Handover: Transition projects to facilities maintenance for warranty-related tasks.

QUALIFICATIONS:

  • Bachelor's Degree or equivalent professional experience.
  • Minimum of 3 years in real estate development.
  • Familiarity with general ledger systems.
  • Advanced proficiency in Excel.
  • Strong command of Microsoft Office Suite.
  • Exceptional analytical and problem-solving capabilities.
  • Collaborative mindset with a focus on partnership.
  • Meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Strong organizational abilities.
  • Capacity to multitask and complete assignments accurately and on time.
