- Align the CEO's calendar with organizational priorities, making necessary adjustments to ensure optimal time allocation for strategic planning and team engagement.
- Organize and facilitate meetings and events, including logistics such as venue arrangements, catering, and retreat planning.
- Continuously seek opportunities to optimize the CEO's time by identifying and addressing routine tasks.
- Monitor and document activities that enhance or detract from productivity, adjusting schedules accordingly.
- Maintain a proactive approach by preparing for upcoming commitments well in advance.
Email Coordination
- Manage incoming correspondence by prioritizing emails for timely responses, including drafting replies in the CEO's voice when appropriate.
- Effectively transfer tasks from email communications into the CEO's task management system.
Administrative Support
- Assist with financial responsibilities, including managing ministry expenses, coordinating invoice processing, and facilitating contract management.
- Organize travel arrangements, ensuring all details are accurately reflected in the CEO's calendar.
- Prepare and distribute various documents, including agendas, reports, and meeting notes, while maintaining organized digital records.
- Develop and sustain an up-to-date database of key contacts, ensuring regular engagement with essential stakeholders.
- Support the Executive Leadership Team with various administrative tasks as needed.
- Collaborate closely with the CEO to enhance the efficiency of daily operations.
