Job Summary:

The Front Desk Coordinator will be responsible for providing exceptional customer service to patients and visitors, scheduling appointments, and maintaining accurate records. This is a full-time position that requires a high level of attention to detail, excellent communication skills, and the ability to work well in a team environment.

Key Responsibilities:
  • Welcome patients and visitors with a warm and inviting smile, answering or referring inquiries in a professional and courteous manner.
  • Demonstrate a high level of customer service at all times, ensuring patient satisfaction and provider time.
  • Generate reports, logs, and lists with high accuracy, including authorization and verifications.
  • Ensure co-pays are tallied and reconciled, and control credit extended to patients.
  • Call treating physicians to obtain updated prescriptions for treatment by Occupational and Physical Therapists.
  • Obtain Plan of Cares from treating physicians and update the system.
  • Set up new and returning patient cases in Theraoffice, including obtaining demographic information and insurance details.
  • Keep patient appointments on schedule by notifying clinicians of patient arrival and reviewing service delivery compared to schedule.
  • Ensure availability of treatment information by filing and retrieving patient records.
  • Maintain business office inventory and equipment by checking stock levels and anticipating needed supplies.
Requirements:
  • One year of medical office experience preferred.
  • Experience with an EMR system is a plus.
  • Ability to communicate with customers, coworkers, and management in a professional and courteous manner.
  • Current or recent experience in a medical practice ensuring compliance with federal, state, and local regulations and guidelines.
  • Must work well within a team environment.
  • Excellent interpersonal and communication skills.
  • Proficiency in the Google Suite platform and ability to learn new programs quickly.
