C-Suite Administrative Coordinator

About the Role:
ENT and Allergy Associates, a leading medical practice specializing in ENT and Allergy care, is in search of a dedicated and proactive full-time C-Suite Administrative Coordinator. This role is pivotal in providing comprehensive administrative support to our executive leadership team.
Key Responsibilities:
- Serve as the primary administrative support for multiple C-suite executives, ensuring efficient management of their schedules and priorities.
- Coordinate and organize meetings, travel arrangements, and appointments for the executive team, demonstrating exceptional organizational skills.
- Act as the main point of contact for both internal and external stakeholders, showcasing professionalism and outstanding communication abilities.
- Prepare, edit, and manage correspondence, presentations, reports, and various documents on behalf of the executives.
- Conduct thorough research and compile necessary data to assist in strategic decision-making and initiatives.
- Prioritize and manage incoming requests, ensuring timely responses and follow-up actions.
- Plan and facilitate executive meetings and board sessions, including the creation of agendas and preparation of materials.
- Anticipate the needs of the executives and proactively address any administrative challenges that arise.
- Collaborate with the administrative team to ensure cohesive support across the organization.
- Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Assist in coordinating board activities and communications as directed by the executives.
- Document meeting minutes and draft responses to correspondence as required.
- Utilize analytical skills to research issues and provide solutions.
- Undertake additional tasks and special projects as assigned by the executive team.
Qualifications:
- A Bachelor’s degree is preferred, or an equivalent combination of education and experience.
- Demonstrated experience in providing executive-level support in a dynamic environment.
- Exceptional organizational capabilities with the ability to manage multiple tasks efficiently.
- Strong attention to detail and a commitment to producing high-quality work.
- Excellent written and verbal communication skills, with the ability to engage professionally with individuals at all organizational levels.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and manage sensitive information with professionalism.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong problem-solving skills and the capacity to anticipate needs effectively.
