The Patient Services Coordinator plays a vital role in ensuring a seamless patient journey from arrival to departure, focusing on registration, appointment management, and addressing administrative inquiries. This position is integral to a team dedicated to providing outstanding patient care through principles of kindness, inclusion, integrity, accountability, and excellence.

Key Responsibilities:

  • Welcome patients and visitors with a friendly demeanor.
  • Collect and register essential information from patients to facilitate an efficient check-in process.
  • Manage scheduling of patient appointments and follow-up procedures.
  • Conduct weekly reviews of all schedules to maintain accuracy.
  • Verify insurance details and obtain necessary authorizations before patient appointments.
  • Address inquiries regarding financial information, including charges, out-of-network benefits, and out-of-pocket costs.
  • Collect payments due at the time of service and manage the cash drawer in the electronic health record system daily.
  • Respond promptly to patient calls, aiming to resolve inquiries during the initial contact. Address messages from the patient portal and voicemails within 24 business hours.
  • Ensure effective call transfers and direct inquiries to the appropriate personnel for resolution.
  • Initiate the registration process for new patients in the electronic health record system as required, including demographics, insurance details, and referral/copay requirements.
  • Provide support and coverage as directed by the Supervisor or Manager.
  • Assist in the training and onboarding of new staff as needed.

Qualifications:

  • A high school diploma or equivalent is required; an associate degree is preferred.
  • At least 6 months of relevant experience is necessary.
  • Proficient understanding of medical terminology is essential.
  • Exceptional customer service abilities are required.
  • Strong verbal and written communication skills are necessary.
  • Experience with electronic health record systems is preferred.
  • Ability to work independently while managing multiple tasks effectively.
  • Knowledge of insurance verification and authorization processes is required.
  • Excellent relationship management skills, including emotional intelligence, interpersonal skills, and the ability to handle sensitive situations with respect and tact.
