Job Overview

We are seeking a highly skilled and detail-oriented Administrative Support Specialist to join our team at the University of Oklahoma. In this role, you will provide administrative support to office personnel, ensuring seamless day-to-day operations.

About the Role

This is an entry-level position that requires a high school diploma or equivalent and 12 months of experience in office, clerical, or administrative settings. As an Administrative Support Specialist, you will work under direct supervision, performing various administrative duties such as filing maintenance, scheduling appointments, reception, inventory management, typing, report preparation, and correspondence.

Key Responsibilities:
  • Maintains office files of a confidential nature
  • Schedules appointments for office personnel and ensures administrative details are completed
  • Receives incoming calls for office personnel and refers them to the appropriate person
  • Records messages or responds to callers with routine information
  • Serves as a contact person for other employees or the outside public
  • Provides information regarding location or availability of materials, resources, and services
  • Monitors and orders supplies for the office and completes requisitions
  • Responsible for typing correspondence, manuscripts, lectures, grant proposals, and medical information
  • Reviews and responds to routine correspondence for office personnel
  • Prepares various reports, including office supply expenditures and student or resident rotation schedules
  • Makes copies and assembles materials
  • Opens, routes, and prepares incoming and outgoing mail
  • May run errands for the department
Requirements and Qualifications

To be successful in this role, you will need:

  • A high school diploma or equivalent
  • 12 months of experience in office, clerical, or administrative settings
  • Working knowledge of office procedures
  • General office and customer service skills
  • Working knowledge of Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to work independently and as a team player
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail-oriented for accuracy of data and information
  • Ability to multitask, be organized, and self-motivated
  • Ability to work in stressful situations
  • Ability to communicate verbally and in writing
Salary and Benefits

The estimated annual salary for this position is $40,000 - $50,000 based on the job requirements and industry standards. The University of Oklahoma offers a comprehensive benefits package, including health insurance, retirement plans, and paid time off.
