Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our Chief Executive Officer and other senior executives.

Key Responsibilities
  • Team Management
    • Manage a team of Executive Assistants, Receptionists, and Mailroom staff, including training, development, succession planning, and performance management.
  • Calendar Management
    • Manage the complex and active calendar of appointments for the President & CEO and direct team of executives and business leaders both internally and externally.
  • Staffing and Communication
    • Ensure appropriate staffing levels are maintained to ensure proper coverage of the Executive Leadership staff. Hire additional staff, as needed.
    • Communicate the President & CEO's directives, including information on sensitive and confidential topics, to appropriate C-level and senior executives and other staff.
  • Record Keeping and Compliance
    • Maintain corporate records and legally required documents in accordance with corporate bylaws and policies for multiple governing boards.
    • Complete Board member orientation with newly recruited Board members and provide relevant information.
    • Act as a liaison between Board members and the President & CEO, and other C-Suite and senior level executives.
  • Travel and Event Planning
    • Arrange complex and detailed travel plans, itineraries, agendas, and compiling documents for travel-related meetings.
    • Plan and execute committee meetings, as required in corporate bylaws and policies.
    • Coordinate annual events, such as planning, executing, and hosting large organization-wide meetings, legislative events, corporate-wide gatherings, and meetings with outside organizations.
  • Performance Evaluation and Goal Planning
    • Assist the President & CEO with planning and coordination and preparation of annual C-suite and senior executive level performance evaluations and goal planning.
  • Logistics and Administration
    • Responsible for logistics arrangements for Board members and other consultants at corporate and community events.
    • Approve invoices and purchases for C-Suite needs and events.

  • Education and Experience
    • Bachelor's degree required or a combination of education and demonstrated experience.
  • Skills and Abilities
    • Excellent interpersonal and relationship-building skills.
    • Ability to provide stable, dependable, trustworthy, and emotional support and sounding board for busy executive leaders.
    • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly while maintaining attention to detail.
