Job Overview

Blue Star Partners LLC is seeking an experienced Administrative Assistant III to provide high-level administrative support to the DVP, US Commercial Operations, and other senior leaders. The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to maintain confidentiality.

Key Responsibilities:

  • Provide administrative support to senior leaders, including meeting setup, document preparation, and travel coordination.
  • Prepare and assemble communications for commercial leadership teams and external agencies.
  • Assist with compliance matters and administer the review and approval of invoices.
  • Maintain organization charts, US commercial fleet assignments, and reporting.
  • Prepare presentations and reports using Microsoft Office tools.
  • Calendar management and coordination of internal and external meetings.
  • Coordinate complex domestic and international travel plans.
  • Perform general administrative tasks, including filing, scanning, and data entry.
  • Maintain legal documents and records.

Requirements:

  • 5+ years of executive administrative support experience for senior leadership.
  • Associate's degree required; bachelor's degree strongly preferred or equivalent combination of education and experience.
  • Advanced Microsoft Office skills and ability to learn new software applications.
  • Excellent interpersonal, written, and oral communication skills.
  • Highly organized office administration skills and strong attention to detail.
  • Ability to work independently and prioritize workload to meet deadlines.
