Ambulatory Practice Assistant II

Key Responsibilities:

1. Facilitates patient arrivals for scheduled appointments. Confirms appointments, reviews registration and billing information, updates online records as necessary, and issues the correct encounter and billing documentation tailored to the patient's visit. Proficient in utilizing various practice management systems.

2. Responds to incoming calls promptly, adhering to departmental standards to ensure accessibility for patients, referring physicians, and other stakeholders.

3. Effectively manages all inquiries, either by assisting the caller directly or routing the call to the appropriate department. Handles routine questions regarding appointment availability, scheduling, referrals, and general clinic information.

4. Maintains and adjusts provider appointment schedules according to the master calendar, ensuring timely updates as required. Coordinates patient appointments within the Specialty Clinic and facilitates referrals to external agencies.

5. Provides a warm welcome to patients during phone inquiries and performs necessary administrative tasks to ensure a smooth visit, including verifying medical records and preparing required forms.

6. Organizes site-specific patient intake documentation and forwards it to the relevant provider. Ensures that medical records are prepared for the daily appointment schedule as needed.

7. Executes all check-out procedures, including scheduling follow-up visits within the Specialty Clinic and coordinating appointments in other departments.

8. Completes prior authorizations as needed.

9. Performs additional duties as assigned.

Qualifications:

Education:
  • High school diploma or GED required; post-secondary education preferred.
  • Minimum one year of relevant work experience required.
  • Additional training in office systems is preferred.
Skills and Competencies:
  • Familiarity with practice operations and standards.
  • Understanding of administrative procedures such as filing, copying, scanning, and faxing.
  • Ability to manage phone systems, answer routine inquiries, and provide information professionally.
  • Capable of interpreting information and responding to questions in a courteous and clear manner.
  • Organizational skills to manage work processes effectively.
  • Ability to handle multiple tasks efficiently while adhering to established protocols.
  • Proficient in written communication, including emails and memos.
  • Basic data entry skills and understanding of relevant systems.
  • Knowledge of medical terminology and insurance processes.
  • Awareness of hospital, state, and federal compliance requirements, including HIPAA regulations.
Working Conditions:

Hospital-based ambulatory practice with exposure to typical patient environments, including potential exposure to communicable diseases and other clinical hazards.
