Role Overview

  • Provide comprehensive administrative assistance to the department.
  • Serve as a liaison, problem solver, and facilitator for departmental leadership.
  • Foster and maintain effective professional relationships with management, staff, and external contacts.
  • Support site management and senior leaders, including those visiting from other locations.
  • Handle team support tasks such as ordering supplies, scheduling meeting spaces, processing training registrations, and maintaining distribution lists.
  • Assist in organizing both onsite and offsite team meetings and events, coordinating logistics such as room setup, catering, and audio/visual needs.
  • Offer on-site support for team activities, including meetings and team-building events.
  • Oversee the local snack program, managing vendor deliveries, orders, and inventory.
  • Coordinate the onboarding process for new hires and contractors, including tracking progress.
  • Collaborate with facilities management on workspace arrangements and maintenance requests.
  • Ensure cleanliness and organization of common areas, including break rooms and meeting spaces.
  • Assist with travel arrangements for team members visiting from other locations.
  • Support the development and updating of presentations, spreadsheets, and other documents for team initiatives.
  • Contribute to various projects and initiatives as needed.
  • Create purchase requisitions and assist with expense reporting and financial matters.
  • Manage and oversee budget and expense documentation.

Work Environment

This is a hybrid role, allowing flexibility between remote and office work. Employees are expected to be in the office 2-3 designated days each week, based on departmental needs.

Qualifications

Basic Requirements:
- Minimum of 6 months of relevant work experience or a Bachelor's Degree.

Preferred Qualifications:
- Associate's degree with 2 or more years of experience.
- 2-4 years of administrative experience, including event planning or project coordination.
- Strong customer service orientation with a professional demeanor.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication skills, both written and verbal, with the ability to thrive in a fast-paced environment.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint).
- Experience in calendar management and travel organization is advantageous.
- Proven ability to support presentation development for senior leadership.
- Strong multitasking abilities and effective prioritization skills.
- Detail-oriented with a commitment to high-quality work.
- Demonstrated initiative, flexibility, and strong organizational skills.
- History of creative problem-solving and collaborative work under pressure.
- Positive and energetic attitude that contributes to a dynamic team environment.

Work Hours: Varies based on departmental needs.

Travel Requirements: Occasional travel (5-10%) may be necessary.
