Job Title: Office Manager

We are seeking an experienced Office Manager to join our team at ProSearch Maine. As an Office Manager, you will be responsible for providing administrative support to our construction office, ensuring the smooth operation of our business.

Key Responsibilities:
  • Monitor and manage all paperwork associated with our construction projects, including contracts, change orders, and financial reports.
  • Assist the Project Manager in monitoring projects and ensuring they are on schedule and on budget.
  • Maintain accurate and up-to-date employee files and ensure new hires complete all necessary paperwork.
  • Generate cash flow reports and manage bookkeeping using QuickBooks.
  • Prepare and present financial reports to management using Microsoft Excel.
  • Communicate effectively with customers, vendors, and contractors via email and phone.
  • Prioritize tasks and manage multiple projects simultaneously.
  • Organize and maintain files for customers, vendors, contractors, and employees.
  • Process accounts payable and ensure all vendors have submitted necessary documentation.
  • Perform banking functions and ensure accurate financial records.
Requirements:
  • Experience working in an administrative position in a construction office or similar company.
  • Excellent project management, analytical, and communication skills.
  • Strong organizational and analytical skills, with attention to detail and good follow-through.
  • Proficiency in Microsoft Office products and QuickBooks or similar software.
  • Knowledge of bookkeeping and financial reports.
