The ADMINISTRATIVE COORDINATOR will function as a key support resource for a senior official within the Office of Community Services (OCS) under the Administration of Children and Families (ACF) at the Department of Health and Human Services (HHS).

OCS oversees various initiatives aimed at alleviating poverty, enhancing opportunities and economic stability for individuals and families, and revitalizing communities.

This role is essential to the ICF team currently providing assistance to this office, and under the guidance of their ICF supervisor, will deliver direct support to OCS leadership.

This position requires a proactive individual who thrives in a dynamic environment with changing priorities and possesses a keen attention to detail; exceptional communication abilities; strong problem-solving skills; and the capacity to engage professionally with senior leadership both within and outside OCS.


This is a hybrid role, requiring in-office presence at OCS headquarters at least two days per week.

This position will necessitate a government clearance to access the government facility and its technology.

Key Responsibilities

Provide comprehensive administrative support for the senior official, including:

  • Managing calendars and scheduling appointments.
  • Coordinating speaking engagements and travel arrangements.
  • Tracking and managing deadlines, including understanding high-priority tasks.
  • Performing various administrative tasks as assigned.

Compose, edit, and review communications on behalf of the senior official, including:

  • Program reports, correspondence, memos, remarks/talking points, presentations, policy guidance, training materials, and other relevant documents.

Assist with data collection, analysis, reporting, quality assurance, and compliance.

Compile information and data from across OCS to respond accurately to high-profile, quick-turnaround data requests.

Conduct research, analyze current policies, assess the implications of proposed legislation, and report findings.

Establish and maintain strong collaborative relationships within and across OCS and ACF, as well as with other federal agencies, state, territorial, and tribal grant recipients, and other key stakeholders.

Participate in regular status and capacity-building meetings with OCS staff and leadership, representing the senior official at meetings as necessary.

Support, coordinate, or co-lead virtual and in-person events, including:

  • Planning content and agendas.
  • Logistics and room assignments.
  • Tracking registration and managing call recordings.
  • Taking notes and following up on action items.

Master and utilize client administrative tools and technology (e.g., GrantSolutions, Swift, On-Line Data Collection System, SharePoint).

Assist with office-wide special projects as directed by senior leadership.

Perform miscellaneous clerical tasks, including electronic file management, filing, labeling, word processing, and spreadsheet development.

Maintain regular communication—at least weekly—with ICF managers, proactively discussing workload, inquiries, and topics for discussion related to effective client support.

Basic Qualifications Required
  • Bachelor's degree in Public Policy, Government, Economics, Urban Planning, or a related field.
  • A minimum of 5 years of relevant experience supporting an executive in a similar role.
Preferred Skills
  • Previous experience in community services or community development.
  • Interest in community development and assisting underserved populations.
  • Experience working on Capitol Hill is advantageous.
