Position Summary

The Accounts Receivable Specialist will report directly to the Manager of Accounts Receivable. This role is pivotal in managing the daily collection processes for all sales and service invoices within the Northeast division of OWL Services. Responsibilities encompass a variety of tasks including email communications, phone outreach, client portal management, and account reconciliations. The ideal candidate will work collaboratively with various departments to address customer disputes and drive process enhancements. This position is based on-site.

Key Responsibilities

  • Identify and communicate discrepancies to management, pinpoint slow-paying clients, and suggest potential candidates for collection.
  • Enhance customer relationships by effectively communicating overdue balances.
  • Streamline the accounts receivable process by recognizing areas for improvement.
  • Conduct outreach to collect payments on overdue accounts while maintaining current accounts to reduce Days Sales Outstanding (DSO).
  • Provide exceptional customer service in resolving inquiries and disputes, collaborating with distribution, billing, and service teams.
  • Reconcile customer accounts and address payment discrepancies, including remittances, short pays, overpays, and prepayments.
  • Ensure accurate reconciliation of customer portals with accounting software.
  • Prepare and dispatch final demand letters when necessary and ready accounts for third-party collections.
  • Document intercompany cash receipts accurately.
  • Generate and distribute monthly statements.
  • Assist with month-end closing activities, including AR adjustments and miscellaneous entries.
  • Support site builds for dispatch calls.
  • Perform additional duties as assigned.

Required Qualifications

  • 3–5 years of experience in collections.
  • Fundamental understanding of finance, accounting, and bookkeeping principles.
  • Proficient in Microsoft Excel, including VLOOKUPs and Pivot tables.
  • Excellent written and verbal communication skills.
  • Able to manage multiple tasks in a dynamic environment.
  • Detail-oriented with a strong team-oriented mindset.

Preferred Qualifications

  • Associate's degree or equivalent experience.
  • Familiarity with SAGE 300 is advantageous but not mandatory.
  • Experience in accounts receivable and general ledger operations.
  • Proven track record in driving process improvements.
