POSITION SUMMARY
This role is essential in delivering exceptional service to patients within the clinic and through various communication channels. Healthcare Support Specialists collaborate with medical professionals, act as intermediaries between patients and healthcare providers, and manage administrative tasks such as patient reception and scheduling as required.

REPORTING STRUCTURE
This position reports directly to the Healthcare Support Manager. There are no subordinate roles under this position.

KEY RESPONSIBILITIES

  • Develop familiarity with provider preferences and established patient conditions.
  • Understand the Patient-Centered Medical Home model.
  • Distribute patient agendas effectively.
  • Conduct medication reconciliation during each visit, including over-the-counter medications.
  • Gather comprehensive family and social histories.
  • Assist in transitioning patients from the waiting area to treatment rooms.
  • Measure vital signs, obtain recent test results, and clarify the purpose of the visit.
  • Prepare patients and collect all necessary information prior to consultation.
  • Report any observed changes in patient condition or behavior.
  • Set up examination rooms for practitioners.
  • Execute basic procedures in accordance with organizational policies.
  • Administer vaccinations, perform blood draws, EKGs, and other provider-requested tasks.
  • Engage in quality assurance initiatives to enhance patient care standards.
  • Complete necessary forms or growth charts before the practitioner meets with the patient.
  • Assist in examinations, diagnostic assessments, and treatment procedures.
  • Input requisitions into the Electronic Medical Records (EMR) system.
  • Prepare and dispatch specimens as needed.
  • Maintain stock levels in treatment rooms and clinical areas daily, notifying management of supply needs.
  • Ensure cleanliness and organization of examination rooms, hallways, and laboratory areas.
  • Adhere to established standing orders as required.
  • Facilitate various medical procedures such as spirometry, audiometry, blood pressure checks, allergy shots, urinalysis, and drug screenings.
  • Participate in all staff meetings.
  • Provide support to colleagues as necessary.
  • Understand and comply with professional office standards.
  • Familiarize oneself with and implement all office policies and procedures.
  • Engage in unit-based quality improvement initiatives when appropriate.
  • Conduct laboratory testing as required.
  • Maintain a safe and healthy work environment by adhering to standards and legal regulations.
  • Comply with personal protective equipment requirements to protect against exposure to potentially infectious materials.
  • Prepare and administer medications and injections as directed by the provider.
  • Make timely follow-up calls to inform patients of test results.
  • Collaborate closely with the clinic's medical director, physicians, nurses, care managers, and other healthcare providers.
  • Become well-versed in HIPAA regulations concerning patient health information privacy and security.
  • Assist in registering and activating patients on their individual portal accounts.
  • Guide patients in troubleshooting issues related to portal usage.
  • Schedule patient appointments and follow-up visits.
  • Manage incoming and outgoing phone communications.
  • Facilitate patient intake and checkout processes.
  • Ensure collection of copayments at the time of service.
  • Create triage entries within the EMR system.
  • Manage patient data within the Electronic Medical Records system.
  • Perform additional duties as assigned.

QUALIFICATIONS
  • Preferred prior experience in healthcare (1-3 years).
  • Experience as a Healthcare Support Specialist in a medical office setting is preferred.
  • High school diploma or equivalent is required.
  • Completion of a Medical Assistant or Nurse Aide program is required.
  • Certification as a Certified Medical Assistant (CMA) or Certified Nurse Aide (CNA) is preferred.
  • Basic Life Support/CPR certification is required.
  • Strong written and verbal communication skills are essential.
  • Proficient knowledge of electronic medical records is necessary.
  • Computer skills are required.
  • Ability to work independently and collaboratively as part of a team.
  • Flexibility to work evenings, weekends, and holidays as needed.
  • Ability to thrive in a fast-paced environment.
  • Good judgment and decision-making capabilities.
  • Comfort in discussing sensitive health matters with patients.
  • Commitment to maintaining patient confidentiality with the highest level of professionalism.
