Position Overview

The Columbia University School of General Studies (GS) stands as a premier liberal arts institution in the United States, committed to making Ivy League education accessible to nontraditional learners. The Associate Chief of Staff oversees the daily operations within the Dean's Office at Columbia University School of General Studies. This role demands a strategic and detail-oriented professional capable of managing a diverse array of responsibilities, ensuring the efficient operation of the office, and fostering effective communication between the Dean's Office and other departments within the School and across the University. The Associate Chief of Staff directly supports the School's mission to provide access to the most exceptional nontraditional students seeking a Columbia undergraduate education, including the School's initiatives in Diversity, Equity, and Inclusion, ensuring that the Dean's priorities in these areas are deeply embedded in the School's ongoing activities and new initiatives. This position will indirectly supervise the School's events teams for all events involving the Dean or those that are School-wide while directly assisting the Dean and Vice Dean in managing critical and public-facing functions of the School.

Key Responsibilities

Dean's Office Planning and Management:

  • Collaborates closely with the Vice Dean to ensure the effective and efficient management of the Dean's Office, particularly in support of the Dean and Vice Dean roles while coordinating with key administrative functions at Columbia GS.
  • Leads the preparation of communications, presentations, speeches, and other public-facing activities for the Dean and Vice Dean, including Board of Trustee presentations and Class Day speeches, ensuring coordination and consistency of messaging.
  • Ensures that briefs for major events are prepared appropriately and timely by departments for key meetings and activities involving the Dean.
  • Works in partnership with the Vice Dean and Senior Leadership Team on all aspects of the School's administration.

Management of Special Projects:

  • Engages in special school-wide projects as needed on behalf of the Vice Dean.
  • Coordinates the School's involvement in sensitive projects requiring collaboration with Central offices, university leadership, or external partners.

Diversity, Equity, and Inclusion (DEI):

  • Oversees the Dean's DEI Steering Committee and related strategic initiatives focused on access and equity.
  • Supervises Columbia GS's DEI initiatives and the staff responsible for their implementation.
  • Collaborates with Columbia HR, GS HR, and the senior leadership team to ensure a continuous commitment to diversity, equity, and inclusion in all School activities, including staff training coordination.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • Bachelor's degree required; advanced degree preferred. A minimum of 7 to 9 years of relevant experience is required, with experience in a university or complex environment being desirable.
  • Demonstrated experience in creating, maintaining, and managing project plans, with a proven ability to influence and ensure project success.
  • Strong communication, relationship-building, negotiation, problem-solving, and organizational skills are essential.
  • Ability to navigate organizational ambiguity and adapt to changes in business processes.
  • Possesses qualities such as integrity, creativity, attention to detail, goal orientation, and the ability to motivate others.
  • Ability to influence group dynamics in a collaborative environment and work with resources to identify issues and facilitate solutions.
