Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide support to our Plant Maintenance Manager and Maintenance Programs. The successful candidate will be responsible for coordinating maintenance activities, processing documents, and providing exceptional customer service.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Plant Maintenance Manager, including processing documents, correspondence, reports, and forms.
  • Maintenance Programs Coordination: Coordinate maintenance programs, including processing purchase orders, inventory control, compliance programs, and permits for all locations.
  • Reporting and Record-Keeping: Prepare, reconcile, and maintain departmental reports, including operating budget and capital budget preparation, payment requests, and payment reconciliation.
  • Attendance and Performance Management: Maintain attendance and performance records for maintenance personnel and prepare and administer vacation schedules for the Plant Maintenance Department.
  • Security and Safety: Assist the Manager with security-related responsibilities, including communication with security alarm providers and distribution of controlled keys.
  • Emergency Preparedness and Safety: Assist the Maintenance Manager in obtaining required State and County permits and aid in the coordination of Emergency Preparedness and Safety programs.
  • Safety and Food Safety: Assist the Maintenance Manager on Safety and Food Safety-related activities, including Safety and Food Safety inspection walks and internal audits, and maintain required reports and records.
  • Technology and Innovation: Identify opportunities to enhance technology and innovation that will improve departmental effectiveness.
Requirements
  • Administrative Experience: Five years of administrative experience in an industrial or manufacturing environment, including acquaintance with Preventive Maintenance, regulatory, and compliance programs.
  • Technical Skills: Demonstrated proficiency in PCs, including Microsoft Word, Excel, and PowerPoint.
  • Communication Skills: Excellent verbal and written communication skills, with strong customer service skills.
  • Interpersonal Skills: Excellent interpersonal and communication skills, with the ability to work in a team environment with different departments.
  • Adaptability: Proven ability to learn new technologies quickly and manage change efficiently, proactively, and in a positive manner.
