JOB SUMMARY
The role involves executing a variety of administrative and clerical functions within an educational setting. This position requires a proficient level of clerical expertise, entailing the management of diverse and moderately intricate tasks such as the preparation and processing of documents, records, correspondence, and reports associated with school operations. The job necessitates regular and responsible interactions with students, parents, the public, and the educational staff. Additionally, responsibilities may extend to supportive roles in other administrative and programmatic activities, including guidance and library functions. The position operates under general supervision, with employees expected to demonstrate initiative and sound judgment in completing tasks promptly. Bilingual proficiency may be required based on specific assignments.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Manages and filters telephone inquiries and concerns from parents, students, and administrative offices.
  • Facilitates the enrollment of new students and maintains current student records.
  • Oversees seasonal enrollment processes.
  • Prepares and updates comprehensive office records, including class lists and attendance reports.
  • Communicates messages to educators and administrators, and makes calls on their behalf.
  • Types and disseminates various documents such as reports, letters, and newsletters.
  • Operates standard office equipment, including fax machines and copiers.
  • Receives, organizes, and distributes incoming mail.
  • Provides first aid to students in the absence of the Health Aide and communicates with parents regarding student health issues.
  • Assists in the preparation of instructional materials and assessments as needed.
  • Maintains confidentiality regarding student records and personal information.
  • Manages student sign-in/out processes and issues tardy passes.
  • Coordinates the scheduling of building use for after-school activities.
  • Performs additional related duties as required within the same or lower classification.

Education

  • High School Diploma or equivalent required.

Experience

  • A minimum of one (1) year of recent general office experience in a progressively responsible role is required.
  • Candidates for bilingual programs must be proficient in the targeted language; otherwise, bilingual skills are preferred.
  • Alternatively, an equivalent combination of education and experience that provides the necessary knowledge and skills may be acceptable.

Knowledge, Skills, Abilities and Other Characteristics

  • Ability to type at least forty (40) words per minute.
  • Proficient in using personal computers, including word processing and spreadsheet applications.
  • Familiarity with modern office practices, bookkeeping, and business English.
  • Capacity to exercise courtesy and sound judgment in interactions with students, parents, and staff.
  • Successful completion of all required assessments.
