General Responsibilities:

  • Ensure that all participants, staff, volunteers, and community partners are treated with respect and dignity, regardless of race, ethnic background, gender, or socioeconomic status.
  • Obtain approval for, monitor, and engage in activities that fulfill the organization's 1% for Social Change requirement.
  • Apply a perspective of racial equity and its intersections with poverty, utilizing core principles of anti-racism in daily tasks.
  • Oversee general ledger operations within accounting software, including Accounts Receivable and Grants.
  • Assist in the upkeep of accounting systems, including the general ledger and all relevant subsidiary ledgers and journals.
  • Reconcile specific general ledger accounts such as accounts receivable, grants, and various contribution types to underlying records.
  • Maintain current files and ensure that all authorizations are accurately recorded prior to the annual audit.
  • Archive files according to established record retention policies, including the purging of outdated files.
  • Provide coverage for the Accounting Specialist during absences due to vacation or illness.
  • Assist the Chief Financial Officer with various tasks as time permits.
  • Complete annual tasks as assigned.

Accounts Payable & Receivable Support:

  • Manage invoicing and tracking of all receivables, including Y's Care, events, room rentals, and miscellaneous revenue.
  • Reconcile monthly bank statements.

Grants and Contracts Management:

  • Collaborate with various Program Directors and accounting to ensure timely completion and submission of all contract materials.
  • Meet with Program Directors monthly to review grants budgets and ensure accurate and timely spending of grants.

Funder/Contract Billings:

  • In collaboration with the Chief Financial Officer, assign grantor and contractor funding sources to payroll and operating expenses monthly.
  • Prepare related grant and contract billings and revenue recognition, ensuring submissions are completed by the 10th of the following month, while monitoring and reporting on payment receipts.
  • Conduct analysis of balance sheet accounts and maintain records and documentation for each balance sheet account.

Cash Deposits:

  • Work alongside the Philanthropy's Database Manager to reconcile deposits entered into their database system.
  • Reconcile, enter, and post all deposits in the accounting system on a weekly basis.

Internal Controls and Communication:

  • Address inquiries from staff and management regarding general ledger data, receipts, and disbursements.
  • Provide ongoing support for developing systems to gather all contracts and related data.
  • Communicate with contractors, grantors, and donors as necessary.
  • Ensure that all grant files are maintained and up to date.
  • Assist with audit preparation annually.

  • AA/BS in accounting, business management, or a related field, or equivalent work experience.
  • A minimum of three years of experience in accounting, with a preference for nonprofit bookkeeping/accounting experience.
  • Strong technical knowledge across all accounting functional areas.
  • Proficient in accounting software, payroll, and financial statements, with knowledge of Financial Edge preferred.
  • Intermediate to advanced Excel skills are required.
  • Excellent organizational, multitasking, and follow-through abilities.
  • Capability to follow directions, prioritize tasks, perform multiple duties, and complete responsibilities with minimal supervision.
  • Able to work effectively with a diverse staff and clientele.
