Job Overview

Role Summary: In collaboration with the miCare Operations leadership team, this role is pivotal in facilitating the daily functions of team members to ensure timely project completion while adhering to all regulatory standards. The Clinical Operations Coordinator is tasked with supporting, comprehending, and implementing the miCare mission and philosophy, alongside company and clinical protocols, while effectively communicating with clinical management to oversee patient care services.

Key Responsibilities:

  1. Operational Duties:
    • Coordinate, oversee, and document patient and clinical care activities.
    • Lead daily team meetings and provide updates to the Practice Manager.
    • Ensure adherence to company policies and procedures.
    • Communicate with external vendors and escalate concerns to the Practice Manager.
    • Facilitate maintenance and repair issues, reporting them to the Practice Manager.
    • Assist with incoming communications, referrals, scheduling appointments, patient check-in/check-out, and maintaining clinic cleanliness.
    • Manage staff schedules and assignments, addressing any call-outs.
    • Handle employee and patient concerns, providing updates to the Practice Manager.
    • Engage in challenging discussions with staff as necessary.
    • Maintain inventory of medical supplies.
    • Train new hires on clinical procedures and participate in meetings.
    • Contribute to departmental meetings and support procedure implementation across the facility.
    • Assist with various clinical duties as assigned.
    • Direct workflows and assist with daily operations in the absence of the Practice Manager.
  2. Client Relations:
    • Facilitate communication and resolution of issues between clients, staff, and management.
    • Serve as the primary support for resolving client-related issues.
    • Monitor clinic feedback for any patient-related concerns.
  3. Customer Service Excellence:
    • Provide timely follow-up with both internal and external stakeholders.
    • Escalate complex issues appropriately within the organization.
    • Model core values in customer service delivery.
    • Build relationships with medical professionals and clinical staff.
    • Ensure effective communication between patients, their families, and healthcare providers.

Qualifications:

  • At least three years of clinical experience in public health or a related field.
  • Experience in a supervisory or management role within patient care is preferred.
  • Knowledge of current standards of practice in medical clinics.
  • Proficient in computer applications, including Microsoft Office.
  • Strong leadership, organizational, problem-solving, and analytical skills with attention to detail.
  • Act as a liaison between clinical staff and management.
  • Excellent written and verbal communication skills.
  • Ability to work independently, prioritize tasks, and manage multiple responsibilities effectively.
  • Willingness to travel for training and ongoing clinical support.

Physical Requirements:
Work is primarily conducted indoors in an office setting with moderate noise levels. The role may require intermittent physical effort, including lifting up to 25 pounds, walking, and other physical activities. A typical workday involves sitting, frequent use of a keyboard, and communication, with a significant portion of time spent standing.
