As a Service Administrator, your primary role will involve ensuring precise and timely billing processes while maintaining effective communication with service operations across various regions. You will collaborate closely with our finance department regarding billing matters, contract documentation, change orders, and other contract adjustments, ensuring compliance with established protocols.

Key Responsibilities:

  • Oversee service billing operations, including quotes, contracts, project invoices, and credit memos, ensuring accuracy and timeliness.
  • Compile and generate necessary billing documentation, invoices, receipts, and customer statements.
  • Maintain and input pricing and labor rate billing groups into the system.
  • Process credit card transactions and manage Amazon order filtration.
  • Support the collections team by following up on vendor invoices for service collections.
  • Create purchase orders and manage open-service purchase orders.
  • Conduct routine database maintenance for warehouse inventory.
  • Establish and update customer profiles, locations, labor rate groups, and pricing for all service clients.
  • Provide administrative support for service contract customers.

Qualifications and Skills:

  • Preferred Associate's degree in accounting or business.
  • 2-3 years of experience in billing, particularly in a service-related industry, with strong mathematical skills.
  • Detail-oriented and highly organized, capable of managing multiple tasks effectively.
  • Proficient in MS Office (Word, Excel, and Outlook); knowledge of GP is a plus.
  • Strong customer service abilities, with excellent verbal and written communication skills.
  • Able to work collaboratively in a team-oriented environment.
  • Exhibit integrity, enthusiasm, and professionalism in representing the company.

The estimated compensation range for this position is $45,000-$55,000, influenced by various factors such as education, qualifications, and prior experience.
