Position Overview:


The Accounts Receivable Specialist at TopRx is dedicated to delivering outstanding customer support in relation to account management and payment processing.

This role will be evaluated based on key performance indicators such as Days Sales Outstanding (DSO), overdue accounts exceeding 90 days, and accounts referred to collections.

The individual will strive to foster proactive relationships with both internal teams and external clients.


This position entails managing collections for a designated portfolio of accounts from the point of billing until the receivable is fully settled.

Established collection procedures will guide the systematic approach to addressing delinquent accounts while ensuring customer loyalty is maintained.

Engagements with accounts during the collection process will involve securing firm payment commitments while nurturing positive customer relationships.

The specialist will collaborate with the sales team to navigate sensitive matters regarding accounts that may face suspension due to non-payment. Both verbal and written communication skills are essential for effectively resolving accounts receivable issues.

Key Responsibilities:

  • Implement the 5-step collection process utilizing the accounts receivable aging report. All accounts overdue by more than 15 days require at least one point of contact within a 15-day timeframe. The cycle spans 30 days.
  • Assess held orders due to overdue payments or credit line concerns for timely release.
  • Process credit card transactions daily as needed.
  • Resolve disputes with customers through thorough research of available information; document and communicate findings to customers and relevant staff.
  • Conduct annual credit evaluations for accounts, as well as ongoing assessments for those exceeding their credit limits.
  • Review customer records and recommend actions such as account closures, adjustments to credit lines, changes in terms, or initiation of hard collection measures based on financial data, payment history, and purchasing activity.
  • Engage with representatives from credit agencies and other businesses to exchange information regarding credit ratings and forwarding addresses. Familiarity with D&B financial credit reports is advantageous.
  • Create and maintain documentation in ASW, updating collection and NSF logs as necessary.
  • Prepare, update, and review reports on account status, current findings, and actions taken for all accounts under scrutiny.
  • Assist customers in setting up and processing wire transfers and ACH payments through the online payment portal.
  • Identify accounts to be referred to third-party collection agencies.
  • Collect NSF items from customers.
  • Support the onboarding of new customers and establish credit lines and terms.
  • Contribute to the development of policies and procedures, providing recommendations to upper management.
Requirements

Qualifications:

The ideal candidate will possess a minimum of three to five years of experience in accounts receivable, credit, and collections, along with customer service experience.

Additionally, the individual must thrive in a dynamic, fast-paced environment, be proficient in Microsoft Office applications including Word, Outlook, and Excel, and demonstrate strong time management and organizational skills.

The candidate must also exhibit effective communication abilities in a professional context. The work schedule for this position includes rotating shifts, which encompass one evening per week and a rotation of 12:00 p.m. to 2:00 p.m. on Saturdays.
