Key ResponsibilitiesAs the Operations Administrative Coordinator, you will be instrumental in supporting our executive and senior leadership teams, directly influencing the efficiency of our operations. Reporting to the Administrative Services Manager, you will manage essential administrative functions and facilitate effective communication with staff and clients.
Core DutiesAdministrative Support:
- Manage front desk operations and oversee daily administrative activities.
- Welcome and direct visitors to the appropriate personnel.
- Provide comprehensive administrative support to senior management, including organizing meetings, documenting minutes, and preparing reports.
- Perform clerical tasks such as answering phone calls, filing, and managing correspondence.
- Sort and distribute mail and deliveries efficiently.
- Demonstrate the ability to multitask in a dynamic environment.
- Other responsibilities as assigned.
Office Management:
- Ensure adequate stock of office supplies and refreshments.
- Maintain inventory across multiple locations as necessary.
- Organize storage, kitchen, and common areas effectively.
- Monitor meeting room schedules and prepare spaces for meetings.
- Keep collaborative areas tidy and well-equipped.
- Serve as the point of contact for office equipment troubleshooting and repairs.
- Coordinate meals for staff and visitors as needed.
- Participate in employee engagement initiatives.
- Oversee the ordering of supplies and refreshments.
- Foster a respectful and kind environment for all colleagues and clients.
- Exhibit a proactive, flexible, and detail-oriented approach.
- Other duties as assigned.
- 1 to 3 years of experience in customer service or administrative roles.
- A Bachelor's degree is preferred but not mandatory.
- Ability to pass a comprehensive background check.
- Possession of a valid driver's license.
- Strong interpersonal skills and attention to detail.
- Willingness to work flexible hours.
- Compliance with health protocols as required.
