Job Overview

We are seeking a highly skilled Administrative Coordinator to join our team at Grant-Shannon. As an integral part of our operations, this role will play a critical role in maintaining the efficiency and accuracy of our administrative processes.

Key Responsibilities:

  • Maintaining a professional office environment and ensuring seamless day-to-day operations.
  • Processing carrier paperwork, including freight bills, bill of lading, and accessorial receipts, with utmost attention to detail and accuracy.
  • Validating load and order information, ensuring the accuracy of costs, reference numbers, and counts, and uploading supporting documentation into transportation management systems.
  • Timely processing vendor payments and employee expense reimbursement requests, adhering to accounts payable procedures, invoice approval policies, and payment methods and terms.
  • Ensuring accurate matching of customer payment records to receivable records in accounting software.

Requirements:

  • Superior attention to detail and accuracy in data entry and record-keeping.
  • Ability to manage multiple concurrent priorities and maintain a high level of productivity.
  • Proficiency in Microsoft Office and QuickBooks accounting software.
  • Excellent communication skills for effective internal and external stakeholder interactions.

The ideal candidate will have prior experience in office settings or a degree in Business Administration, Accounting, or a related field. Experience with freight billing, bill of lading, receivables, and payables is also preferred.
This position offers a competitive salary range of $55,000 - $65,000 per annum.
