Position Overview:
We are in search of a highly organized and proactive Operations Support Specialist to assist the executive leadership team, specifically the President/General Manager of International Programs. The ideal candidate will possess substantial experience in business operations, program support, tradeshow assistance, and proposal development, while being adept at managing a variety of administrative tasks.
This position requires in-office attendance.
Key Responsibilities:
Administrative Support:
- Act as the primary liaison for the President of International Programs, managing communications including calls and emails.
- Assist executive leadership with calendar coordination, meeting logistics, and travel arrangements.
- Organize meeting logistics, prepare necessary materials, and follow up on action items.
- Support the preparation of proposals and facilitate international communications.
- Conduct research, compile reports, and develop presentations.
- Collaborate with internal teams and external partners, attend meetings, document minutes, and track action items.
- Oversee expense management and maintain precise financial records.
PowerPoint Proficiency:
- Design and deliver high-quality PowerPoint presentations for both internal and external audiences.
- Ensure presentations are visually engaging, clear, and effectively convey key messages.
Professional Correspondence:
- Draft, edit, and proofread business correspondence for various purposes.
- Maintain a high standard of written communication, ensuring clarity and precision.
Contract Review:
- Assist in the evaluation and interpretation of business contracts, ensuring accurate communication of terms.
- Work in collaboration with legal and compliance teams to ensure regulatory adherence.
Proposal Development:
- Support the creation of comprehensive proposals based on provided information, aligning with client requirements and organizational goals.
- Collect necessary data and insights from cross-functional teams for proposal development.
Qualifications:
- Bachelor's degree in business administration, management, or a related discipline.
- Exceptional organizational, analytical, and problem-solving abilities.
- Strong attention to detail with the capacity to manage multiple tasks.
- Ability to work independently and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite and relevant software applications.
- Ability to handle confidential information with discretion.
- Experience in international business, particularly in the Middle East market, is advantageous.
- Willingness to work flexible hours, including occasional evenings and weekends.
- Ability to travel as required.
