Position Overview:
The Administrative Executive will provide comprehensive support to the Chief Executive Officer, facilitating communication with the Board of Directors and the Senior Management Team.

This role will act as the main liaison for both internal and external stakeholders regarding all matters related to the CEO.

The Administrative Executive must demonstrate the capability to independently manage projects from inception to completion, ensuring adherence to deadlines while handling sensitive information with discretion.

Key Responsibilities:

  1. Oversee the CEO's schedule by prioritizing requests and resolving conflicts, making informed decisions to ensure seamless daily operations.
  2. Draft and finalize correspondence, including memos and communications on behalf of the executive.
  3. Lead the development of presentations and all necessary materials for formal meetings with the Executive Team or company-wide gatherings.
  4. Conduct research and analyze data to support various projects, events, and initiatives led by directors.
  5. Maintain and organize board records, documents, and reports, ensuring easy retrieval.
  6. Prepare documents for review and presentation to boards of directors, committees, and executives.
  7. Accurately document minutes from board meetings.
  8. Utilize various software applications, including Microsoft Office Suite, spreadsheets, and video conferencing tools.
  9. Review and distribute incoming memos and submissions as necessary.
  10. Coordinate business travel arrangements for the CEO.
  11. Perform general office duties, including supply ordering and managing incoming correspondence.
  12. Provide administrative and office management support to the management team.
  13. Assist in organizing team meetings and events, including logistics such as catering and setup.

Required Qualifications:
A Bachelor’s degree is required along with a minimum of 5 years of professional experience. Proficiency in Google and Microsoft Office suites is essential. Familiarity with scheduling tools is necessary. Extensive experience working with a board of directors is preferred. The ideal candidate will be a proven multi-tasker with exceptional organizational skills and excellent verbal and written communication abilities. Experience in event planning is crucial, along with strong decision-making and prioritization skills. A background in working with diverse and culturally competent communities is highly valued.
