PROJECT MANAGEMENT ASSISTANT

Key Responsibilities:

  • Collaborate with Project Managers to determine and outline project specifications, scope, and objectives for each assignment.
  • Participate in and contribute to project initiation meetings.
  • Organize and maintain project-related documentation to ensure accuracy and accessibility.
  • Request and evaluate subcontractor proposals for Project Manager assessment.
  • Source, price, and procure materials, equipment, and labor as needed.
  • Guarantee timely delivery of all necessary materials, equipment, and labor.
  • Coordinate and arrange travel for the Field Team.
  • Ensure the Field Team is provided with complete and precise job documentation.
  • Review daily field reports, escalating issues when necessary.
  • Oversee the completion of change order documentation.
  • Assist the Project Manager with project handover processes.
  • Review and authorize final project costs and invoices.
  • Ensure timely receipt of final invoices and lien waivers from subcontractors.
  • Participate in special committees or projects as required.

Ideal Candidate Profile:

  • Strong organizational skills, time management abilities, and meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Capability to manage multiple projects simultaneously and collaborate with individuals in various roles.
  • Intermediate proficiency in Microsoft Office Suite: Word, Excel, Outlook, & Teams. Familiarity with Microsoft Project and Spectrum software is advantageous.
  • Aptitude for drafting routine reports and correspondence.
  • A minimum of one year of experience in an administrative or customer service role.
  • Intermediate negotiation skills.
  • Experience in the construction industry or a related field is a plus.
  • An Associate's degree or equivalent from a two-year college/technical school is preferred.
