Position Summary

We are in search of a Part-Time Project Coordinator who will play a vital role in assisting our Project Managers and Senior Project Managers with various administrative and operational tasks. This position is essential for ensuring the smooth execution of projects from inception to completion.

Key Responsibilities

  • Attend project turnover meetings, preparing necessary documentation and distributing minutes.
  • Facilitate the transition of project files from preconstruction to implementation and subsequently to the Warranty team.
  • Input all project-related information into Viewpoint (by Vista), including budgets, contract amounts, and schedules.
  • Request and track Performance & Payment Bonds, Certificates of Insurance, and Preliminary Notices as needed.
  • Assist in the development of the project Schedule of Values and ensure accurate entry into Viewpoint or client billing formats.
  • Support the preparation of monthly billings and lien waivers, as required, while projecting future project billings.
  • Update monthly billing data in Viewpoint and maintain the Bond Log on a monthly basis.
  • Coordinate with the accounting department on accounts receivable and payment tracking.
  • Draft Subcontract Agreements and Purchase Agreements for subcontractor and vendor execution.
  • Manage change order information in Viewpoint and prepare formal change order documents for subcontractors and vendors.
  • Respond to Preliminary Notices from subcontractors and vendors.
  • Track compliance items related to Davis Bacon and Buy American, where applicable.
  • Assist in the preparation and tracking of submittals, maintaining a comprehensive log.
  • Send necessary tax exemption and financial documents to general contractors.
  • Prepare project-specific badges and coordinate updates with the Superintendent.
  • Compile O&M Manuals and various close-out documents upon project completion.
  • Update Work in Progress Reports (WIPS) on a monthly basis.
  • Perform additional duties as assigned.

Required Knowledge, Skills, and Abilities

  • Understanding of file and records management principles along with basic bookkeeping and accounting knowledge.
  • Experience managing multiple projects with overlapping deadlines and deliverables.
  • Ability to establish and maintain effective working relationships with colleagues, vendors, and clients.
  • Proficiency in using the MS Office suite.

Educational and Experience Requirements

  • High School diploma or equivalent.
  • A minimum of two years of experience in project assistance, project coordination, or administrative support within the construction or HVAC industries.
