This role involves delivering exceptional parts support for Caterpillar and various other suppliers to both clients and internal teams. The position is crucial for enhancing and sustaining our professional reputation in the markets served by Western States Machine Company through top-tier parts consultation and customer service. The ideal candidate will possess strong interpersonal skills, the ability to build effective relationships, and a keen willingness to acquire new product, company, and industry knowledge.

KEY RESPONSIBILITIES:

  • Handles parts inquiries via phone and face-to-face interactions.
  • Assists internal stakeholders, including Product Support Sales Representatives (PSSRs), Inside Sales, Machine Sales, and Service Departments, alongside external clients with parts pricing and quotations.
  • Guides customers on alternative parts when direct replacements are unavailable.
  • Verifies parts availability, assesses urgency, and determines the most effective methods to fulfill customer requirements, utilizing need-by dates efficiently.
  • Generates invoices and finalizes customer transactions by processing payments.
  • Processes, monitors, and fulfills customer orders to exceed expectations.
  • Retrieves parts from inventory as necessary.
  • Identifies part numbers and inspects worn, damaged, or defective components to ascertain customer needs.
  • Discusses the features and advantages of alternative solutions (repair options) and presents these to customers (e.g., General Duty, Reman, Used).
  • Keeps customers updated on new parts, available services, and dealer merchandising initiatives.
  • Researches and orders parts from CAT and other suppliers based on requests from customers or departments.
  • Manages vendor invoices through the appropriate systems.
  • Maintains precise customer and equipment data in our systems.
  • Participates in and completes training as required or available.
  • Adheres to the assigned work schedule with consistent attendance and punctuality.
  • Complies with all customer care standards.
  • Promotes and advocates for safety at Western States, adhering to all relevant safety policies, procedures, and standards.
  • May participate in training and serve as a team member in support of Western States' strategic programs, projects, and initiatives.
  • Aligns with and promotes the corporate vision, mission, and values of the organization.
  • Performs additional duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to learn dealer systems.
  • Moderate understanding of forklift and material handling equipment.
  • Capability to obtain forklift operator certification.
  • Ability to foster and maintain effective working relationships through teamwork.
  • Willingness to travel occasionally for training, meetings, etc.
  • Flexibility to work overtime and be on call.
EDUCATION AND EXPERIENCE:
  • Proof of high school diploma or General Education Degree (GED).
  • A minimum of 2 years of experience as a CAT Parts Consultant, completion of an assigned development plan, or 1 year as a CAT Parts Consultant with 2 additional years of parts/warehouse experience, along with completion of an assigned development plan, or 3 or more years of technician experience is required.
  • Must be proficient in English communication (speaking, reading, comprehending, and writing).
PHYSICAL REQUIREMENTS:
  • Must be capable of sitting for extended periods, as well as walking, standing, climbing stairs, reaching, pushing, pulling, leaning, and twisting.
  • Able to lift up to 50 lbs in accordance with Western States' Lifting Safe Work Practice.
  • Must meet all safety requirements as per applicable safety policies.
