Job Summary:

As an Administrative Coordinator at BronxCare Health System, you will play a vital role in ensuring the smooth operation of our department. Your primary responsibility will be to serve as a personal secretary to the Director, handling confidential correspondence and office-related matters. You will also be responsible for maintaining the Director's calendar, organizing departmental meetings, and keeping minutes. Additionally, you will supervise clerical staff, assign work priorities, and participate in selecting and training new staff. Your excellent communication and organizational skills will be essential in this role, as you will be interacting with various levels of personnel and demonstrating courteous and cooperative behavior. Key Responsibilities:

  • Serve as a personal secretary to the Director, handling confidential correspondence and office-related matters.
  • Maintain the Director's calendar, organize departmental meetings, and keep minutes.
  • Supervise clerical staff, assign work priorities, and participate in selecting and training new staff.
  • Prepare manuals, grant applications, and proposals.
  • Assist in preparing and maintaining all necessary documents and manuals to comply with regulatory and inspecting agencies.
  • Maintain files, records, and data of the department.
  • Channel incoming/outgoing correspondence and requests.

Requirements:

  • 24 years of administrative/secretarial experience.
  • 1 year of supervisory experience in a union environment.
  • High School Diploma or Equivalent.
  • Professional Training.
  • Microsoft Office.
  • Knowledge Base Charting (KBC), Eclipsys, Care Management (Allscripts).
  • Internet Navigation.
  • MS Office Suite Required.
