KEY RESPONSIBILITIES

Facilitate the coordination of services to provide patients with substantial financial assistance, aiming to optimize revenue and enhance patient communication. Address patient inquiries and resolve billing-related issues to support patient services.


CORE DUTIES

  • Assess eligibility for insured patients prior to their appointments, ensuring effective communication of any updates or changes between patients and front office personnel.
  • Confirm benefits for all insured obstetric patients and guide self-pay patients through Medicaid enrollment if necessary.
  • Engage with patients to clarify their financial obligations for significant services such as obstetric care, colonoscopies, endoscopies, and dental surgeries not covered by insurance. Monitor and manage payments and payment plans.
  • Collaborate with Patient Navigators to assist patients in applying for external benefits, grants, or other funding sources to facilitate access to quality care.
  • Oversee a quality assurance-auditing program for patients who have self-reported their income for our sliding fee program, providing quarterly reports to management on findings or concerns.
  • Manage participation and income verification for patients seeking additional funding from grants or programs such as the Patient Assistance Fund.
  • Coordinate with patients regarding necessary updates to their insurance information, including primary and secondary coverage, PCP identification, or benefit eligibility limitations.
  • Regularly generate reports to identify coverage for patients insured by third-party insurers not otherwise recorded in our electronic health records. Maintain the retro eligibility process for newly eligible Medicaid patients.
  • Reconcile insurance rosters to ensure quality and risk management, including Medicaid, Medicare, and commercial value-based contracted insurances.
  • Issue monthly statements to patients.
  • Process refunds for overpaid patient balances on a monthly basis.
  • Receive and record patient payments made via mail, phone, and online.
  • Update patient information in the practice management system to ensure accurate claims and statements generation.
  • Manage returned mail, including researching better addresses, suspending statements, handling account balances, and collaborating with statement and collections vendors.
  • Serve as the first point of contact for department phone calls, addressing inquiries within the scope of knowledge and directing other calls or messages to the appropriate personnel.

MINIMUM REQUIREMENTS

  • One to three years of experience in a medical office or medical billing environment.
  • Understanding of basic billing practices, insurance plans, and collections processes.
  • Ability to comprehend and follow both oral and written instructions.
  • Proficient manual dexterity for repetitive tasks.
  • Capability to work independently with minimal supervision.
  • Strong ethical standards and a non-judgmental approach.
  • Basic knowledge of bookkeeping principles.
  • Proficiency in Microsoft Office applications.
  • Ability to manage multiple tasks simultaneously.

PREFERRED QUALIFICATIONS

  • Familiarity with diagnosis and procedure coding systems (ICD-CPT), typically acquired through experience in a medical office or relevant educational background.
  • Bilingual proficiency in English and Spanish.
