Position Overview

Schedule:
Monday - Friday, 8 AM - 4:30 PM with a 30-minute lunch break.

Overtime:
Not applicable.

Key Competencies:
Proficiency in billing and data entry, high efficiency, and exceptional organizational skills.

The ideal candidate will possess 3 to 5 years of relevant experience.

Daily Responsibilities:
The role will focus heavily on accounts payable, inventory management, and data entry tasks. General administrative and clerical responsibilities will also be part of the daily duties.

The candidate will provide a range of administrative and staff support services to the designated organizational unit. Responsibilities may include:

  • Word processing and document preparation
  • Organizing both electronic and physical files
  • Scheduling meetings and maintaining calendars
  • Processing incoming correspondence and managing phone communications
  • Maintaining reports and relevant data
  • Assisting in budget preparation and oversight

Additional duties may involve managing various programs, projects, and processes specific to the operational unit. The candidate may also serve as an administrative liaison with internal and external stakeholders regarding administrative matters related to procurement, personnel, facilities, and operations. Training and assisting other staff members may also be required.

Professional Skills Required:
The ability to read and understand instructions, correspondence, and memos is essential. Candidates should be able to compose written communication effectively and present information clearly in both one-on-one and small group settings.

Strong verbal and written communication skills are a must. Candidates should be proficient in basic arithmetic operations and able to compute rates, ratios, and percentages, as well as interpret graphical data.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access, and Project) is required, with skills in formatting, formulas, presentations, and database management being advantageous.

Excellent typing skills and business writing abilities, along with precise proofreading capabilities, are necessary. Candidates should demonstrate strong organizational, analytical, and attention-to-detail skills, with the ability to manage multiple projects simultaneously and work independently.

Effective communication with various organizational levels is expected, and candidates should possess a strong work ethic and sense of urgency.
