Job Summary

We are seeking a highly organized and detail-oriented Administrative Specialist 1 to provide primary administrative support to the Insect Pest Prevention & Management program. This is a full-time permanent position located at the North Valley Complex in Wilsonville, Oregon.

Key Responsibilities
  • Provide administrative support to the program, including answering frequently asked questions, entering trapping/survey/treatment consent forms, and assisting with apiary registration questions or processes.
  • Track and enter grant application packets into federal systems, coordinate and upload semi-annual and annual reports for grants, and assist with multiple on-boarding's of new employees.
  • Organize interview times for the program, schedule events on behalf of the program, and compose and compile meeting notes for the program and hosted meetings.
  • Prepare documents, track travel forms, and review and edit correspondence, documents, and administrative rules for accuracy and content.
  • Act as the workforce liaison and process new staff I9 verification during on-boarding, following directions from Human Resources and tracking tasks in the Workday Human Resource Information System (HRIS).
Requirements
  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.
  • An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.
  • An equivalent combination of education and experience.

  • Skill in communicating orally and in writing with a variety of people, answering questions, gathering and exchanging information.
