Overview


The Facilities Operations Supervisor plays a crucial role in the effective daily management of the property, ensuring that the necessary leadership, direction, and motivation are provided to foster a positive work atmosphere and enhance community living standards.

This position aims to achieve the objectives of Ironwatch Security while maximizing the owner's investment returns through effective vendor negotiations and utilizing on-site personnel whenever feasible.


As a representative of the company, the Facilities Operations Supervisor is expected to maintain a professional demeanor, demonstrating initiative, integrity, and confidentiality in all aspects of their role.

The supervisor is responsible for inspiring and motivating team members to pursue their tasks diligently.

Key Responsibilities
Adhere to all safety protocols and regulations.


Conduct regular inspections of the property to oversee its physical condition and appearance, working to enhance the community's value by maintaining a safe environment that aligns with community interests.

Carry out monthly exterior inspections of the property.

Engage in the annual budget preparation process, collaborating with management to develop and manage both capital and operational budgets.


Supervise daily operations of the housekeeping team concerning the leasing office and ensure that models and available units are maintained to established standards.


Perform final inspections during resident move-outs and communicate any necessary charges to management within the designated timeframe.

Regularly review vendor invoices to ensure fairness and consistency while achieving optimal performance and value.

Approve and submit invoices to accounts payable weekly.

Ensure compliance with insurance and contract requirements for vendors as per company policy.

Participate in the recruitment and training of maintenance, housekeeping, and landscaping staff, under the guidance of upper management.

Provide support and direction to the team, addressing any personnel issues and fostering a culture of open communication.

Encourage staff participation in company-sponsored training and ensure adherence to mandatory training requirements.


Perform various maintenance tasks including carpentry, plumbing, electrical work, appliance repair, HVAC, and general upkeep in accordance with company standards and applicable building codes.

May also be responsible for maintaining property emergency and security systems.


Address maintenance service requests efficiently and professionally, ensuring all related documentation is completed accurately.


Oversee scheduled maintenance tasks, ensuring safety protocols are followed and utilizing checklists and reports as necessary.

Conduct preventative maintenance as outlined in the community's maintenance program.

Hold monthly safety meetings for all on-site personnel.


Order and organize all necessary parts and materials for maintenance tasks, planning work in advance to ensure timely completion.

Maintain an accurate inventory of maintenance supplies.


Ensure that all storage areas, equipment, and workspaces are kept orderly and functional.


Regularly communicate with property management regarding safety concerns and the overall appearance of the community to ensure a high-quality living environment for residents.

Provide and maintain personal tools typically used in the industry.

Collect and dispose of visible litter on the property during work assignments.

Perform additional duties as assigned, recognizing that specific responsibilities may vary based on community size.

Qualifications
Demonstrated management skills, including supervision, planning, organization, and task coordination.

Ability to negotiate and resolve conflicts effectively.

Prior experience in staff management, including training, coaching, and development, while leading by example.

HVAC certification preferred.

Knowledge of first aid and safety protocols.


Basic computer skills are required, including the ability to create and manage work orders and respond to emails.

Previous experience in a supervisory maintenance role within a building or apartment setting is preferred, along with specialized training in HVAC, plumbing, electrical work, and carpentry.

A high school diploma or equivalent is required.

Skills and Abilities
Strong oral and written communication skills; ability to provide clear direction and respond to inquiries effectively. Must be capable of addressing groups of customers or team members.

Understanding of accounting principles and budget processes, with the ability to interpret numerical data.

Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with property management software is preferred.

Ability to perform maintenance tasks including painting, carpentry, electrical work, appliance repair, HVAC, plumbing, and pool maintenance.

Commitment to delivering exceptional customer service.

Ability to manage projects through effective planning, organization, and coordination.

Proficient in operating hand tools.

Work Environment


The Facilities Operations Supervisor works on-site at a property, regularly interacting with internal and external customers, residents, and vendors.

The work schedule may vary based on property needs, typically ranging from 8 a.m. to 5 p.m., with potential weekend shifts and on-call responsibilities. Flexibility in availability is essential to meet property demands.

Physical Requirements


The physical condition of the Facilities Operations Supervisor must be adequate to consistently fulfill the responsibilities outlined for this position, adhering to all professional standards.

While performing job duties, the employee frequently stands, walks, sits, uses hands, reaches, stoops, kneels, crouches, or crawls, and must be able to talk and hear.

The role may require lifting or moving up to 50 pounds and operating power tools, as well as occasional driving during work tasks.
