Job Overview:

The Commercial Loan Support Specialist will work under the supervision of the Quality Assurance team, collaborating closely with Business Development Officers, Portfolio Managers, and Quality Control personnel to ensure the integrity of documentation for the origination, renewal, and management of Commercial Banking loans, including Agricultural, Business, and Construction financing. This role is essential in providing quality assurance for all loan files and confirming that all documentation adheres to the audit and policy standards of BankWest. The Specialist will engage directly with loan clients as directed by the Branch President, Business Development Officer, or Portfolio Manager.


Key Responsibilities:

  1. Gather and validate loan documentation necessary for the origination and renewal of Commercial Banking loans, in accordance with established checklists.
  2. Assist the Business Development Officer and/or Portfolio Manager to ensure compliant submission of loan documentation to the Credit Department or Credit Analyst Team, maintaining familiarity with the loan and required documentation.
  3. Verify the accuracy of work for each file, providing quality assurance for all Commercial Banking files prior to the preparation of closing documents.
  4. Ensure the precise completion of required validations, approvals, and submission of loan setup sheets for all loan categories, confirming that documents are accurately prepared by Loan Operations based on loan approvals.
  5. Conduct the final review and validation of printed loan documents before customer signatures, collaborating with Loan Operations to address any discrepancies.
  6. Represent the Business Development Officer or Portfolio Manager during loan closings with clients, responsible for fund disbursement, ticket preparation, and documentation of Loan Comments. Prepare and submit the loan activation form to Loan Operations, including any necessary final reviews or approvals.
  7. Perform post-closing documentation quality checks, completing loan checklists and conducting final verifications of closing documents against Credit Memos for assigned loan types and sizes.
  8. Update existing ticklers for renewed loans and create ticklers for newly originated loans, ensuring follow-up on the status of all ticklers.
  9. Conduct post-closing tasks to ensure proper collateral for each loan, verifying that title and UCC searches are completed and confirming the perfection of security interests for pledged collateral.
  10. Accurately prepare, index, and scan loan documents in a timely manner, organizing and retaining necessary physical loan documentation.
  11. Provide customer service to borrowers as directed by the Branch President, Business Development Officer, or Portfolio Manager, which may include documenting loan maintenance requests, processing loan payments, handling loan payoffs, managing loan advances, and requests for collateral release.

Additional Responsibilities:

  1. Collaborate with departmental colleagues on planning and executing assigned projects and products.
  2. Participate in various committees and project teams as deemed appropriate by management.
  3. Engage in organization-specific training and Quality Service programs.
  4. Adhere to all relevant Policies and Procedures of BankWest.
  5. Encourage community involvement.
  6. Perform other duties as assigned.

Qualifications:

Education:

A high school diploma or equivalent is required.


Experience:

Preferred experience includes 3 years in lending and loan documentation.


Skills and Knowledge:

  • Detail-oriented with a strong focus on accuracy.
  • Able to work both independently and collaboratively under pressure, meeting deadlines and adjusting work schedules as necessary.
  • Capable of organizing and managing multiple responsibilities while delivering high-quality customer service.
  • Strong interpersonal skills to facilitate effective communication with both external and internal clients.
  • Knowledge of regulatory requirements relevant to the duties outlined in this job description.
  • Familiarity with banking terminology and procedures.
  • Proficient in using various software applications, with the ability to learn new computer programs and understand their outputs.
  • Commitment to adhering to Federal Privacy Standards and BankWest's electronic communication and Social Engineering protocols.
