Position Overview

Orlando Health is in search of a committed Sports Partnerships Specialist. This role is pivotal in overseeing the hospitality resources, scheduling, and event management for the Orlando Health organization, aimed at enriching the experience of executives and team members while promoting awareness of the organization's athletic and community affiliations.

Core Responsibilities:

  • Oversee ticketing and hospitality arrangements for the organization.
  • Manage the calendar of sports partnerships and coordinate event logistics.
  • Supervise the inventory of sports-related materials and branded marketing items.

Office location is designated for operational activities.

Work Schedule

Standard business hours with additional availability for evenings and weekends as required.

Key Duties

Primary Functions
  • Administer and implement all hospitality asset inventory for the organization.
  • Coordinate catering and food services for hospitality events as necessary.
  • Disseminate informational communications regarding event details prior to events and address inquiries as they arise.
  • Develop, maintain, and share the annual events calendar across various platforms.
  • Track and report on ticket utilization metrics.
  • Conduct research to identify potential sports partnership opportunities.
  • Manage all logistical aspects on the day of events and represent the organization at partner events when appropriate.
  • Handle post-event logistics and facilitate debrief meetings with the planning team as needed.
  • Maintain inventory of event materials such as banners and displays, ensuring alignment with brand messaging.
  • Oversee the inventory of promotional items, ensuring they meet both internal and external demands.
  • Lead an event planning committee, organizing meetings and providing updates to leadership.
  • Collaborate with external agencies to create marketing materials and signage as required.
  • Identify and coordinate with internal physicians and staff for event participation, ensuring adequate representation.
  • Manage the budget for ordered items, catering, and other departmental expenditures.
  • Understand the target audience and design engaging activities for attendees.
  • Source and procure branded giveaways based on anticipated attendance to support sports partnership initiatives.
  • Coordinate logistics with event sponsors and other external parties as necessary.
  • Act as the onsite coordinator and liaison between the organization and partners to ensure readiness.
  • Work closely with the Sports Partnerships Manager to ensure the success of internal projects, initiatives, and events.
  • Maintain a comprehensive understanding of internal stakeholders, executives, and their administrative structures.
  • Collaborate with the Sports Partnerships Manager and Sr. Director to proactively assess sponsorships, team member engagement, and community involvement opportunities.
  • Provide exceptional customer service to both internal and external stakeholders.
  • Adhere to attendance policies consistent with organizational standards.
  • Ensure compliance with all organizational policies and procedures.
Additional Responsibilities
  • Regularly assess the effectiveness of all assigned events and projects.
  • Engage in professional development through seminars, workshops, and educational resources to stay current with industry trends.
Qualifications

Education/Training
Bachelor's degree required.

Licensure/Certification
Must possess a valid driver's license and meet insurability standards.

Experience
A minimum of two years of experience in a business environment with increasing responsibilities in event coordination and/or ticketing systems. Proven skills in organization, communication, and facilitation are essential.

Preferred Experience
Experience with ticketing platforms is advantageous.
