Client Support Specialist

Position Overview:
This role is designed to assist Financial Advisors (Registered Representatives) in managing their daily investment operations while improving the overall customer service experience.
Key Responsibilities:
- Serve as a key point of contact between registered representatives and their clients.
- Manage phone communications, schedule client meetings, and prepare necessary materials for these interactions.
- Assist registered representatives in creating client presentations, including illustrations, graphs, and reports.
- Handle client documentation and follow-up tasks to support registered representatives effectively.
- Engage with clients through various channels, including phone calls, virtual meetings, and in-person visits, to ensure their service needs are met.
- Organize client events and manage follow-up activities.
- Maintain accurate client records in compliance with corporate standards.
- Proactively reach out to clients and registered representatives regarding time-sensitive matters, such as Required Minimum Distributions (RMDs) and quarterly/annual reviews.
- Take ownership of client inquiries and requests, collaborating with internal departments to meet client expectations for timely service delivery.
- Educate clients about account services, capabilities, and emerging technologies.
- Complete mandatory corporate training on new technologies and adhere to implementation guidelines.
- Collaborate with Advisors in weekly meetings to support their business planning processes, marketing efforts, and client communication strategies.
Qualifications:
- High School Diploma, GED, or equivalent required.
- Experience in an administrative or customer service role is essential.
- Strong time management and organizational skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a willingness to learn new software.
Preferred Qualifications:
- Prior experience supporting Registered Representatives or Financial Advisors.
- Background in financial services or banking.
- Bachelor's degree in Finance, Business, Marketing, or Communications is advantageous.
- Attention to detail and the ability to multitask in a fast-paced environment.
- Self-motivated with the ability to work both independently and as part of a team.
- Professional demeanor and a friendly attitude in all interactions.
