Role Summary

The Operations Administrator will report directly to the Director of Operations. This role encompasses a variety of responsibilities, including but not limited to:

Effective Communication
  • Engage respectfully and thoughtfully with parents, guardians, and staff, while being sensitive to various cultures and values. Collaborate with school leadership to further KIPP Delta's mission.
  • Foster a school culture that emphasizes academic excellence, fairness, respect, and high behavioral expectations among staff, parents, and students.
  • Ensure that staff members are well-informed about procedures and have the necessary resources to perform their roles effectively.
Administrative Responsibilities
  • Maintain a tidy, organized, and welcoming main office, ensuring that all essential materials for parents are readily available.
  • Oversee the front desk operations, ensuring it is attended or proper notifications are made when it is unstaffed.
  • Manage incoming and outgoing calls, creating internal announcements as needed.
  • Issue bus passes for students when changes are requested by parents or guardians.
  • Handle incoming and outgoing mail, ensuring timely distribution and preparation.
  • Schedule appointments for parents and visitors with leadership as necessary.
  • Answer phone inquiries, redirecting as appropriate, and relay messages to staff promptly.
  • Support site-level staff with their questions and concerns.
  • Assist in planning and coordinating travel and events for students and staff.
  • Help in the creation and distribution of memos, newsletters, and other communications.
  • Coordinate monthly safety drills, inspections, and training sessions.
  • Complete special projects aimed at enhancing school operations.
  • Manage uniform supplies and fulfill requests from families.
  • Oversee office supplies, processing orders and requests as needed.
  • Ensure that office equipment is functional, including copiers, fax machines, and postage meters.
  • Maintain the teacher workroom in an organized manner.
Health and Safety Management
  • Ensure compliance with Visitor and Volunteer Policies, screening all visitors prior to entry.
  • Participate in first aid and CPR training, responding as necessary.
  • Maintain up-to-date school signage and ensure security at all entrances and exits.
Data Management
  • Input and maintain student data within KIPP Delta's systems, including applications, registrations, and behavioral reports.
  • Keep accurate daily attendance records and track trends for reporting purposes.
  • Process late arrivals and follow up with families of absent students.
  • Ensure student records are current and manage requests for transfers or withdrawals efficiently.
  • Handle requests for reprints of report cards and transcripts as needed.
Financial Support
  • Process payments from students and families, providing receipts as necessary.
  • Complete bank deposits and reconcile petty cash and credit card transactions.
  • Manage mail orders and invoice scanning.
  • Coordinate with the regional finance department for various financial processes.
Student Recruitment Support
  • Manage applications in the student recruitment system, providing updates to the KIPP Delta teams.
  • Create physical folders for new students and assist in scheduling meetings.
  • Support recruitment activities through communication with applicants.
Qualifications
  • 1-2 years of experience in operations, maintenance, and administration, preferably in an educational setting.
  • Associate Degree preferred.
  • Experience with educational institutions is a plus.
  • First Aid Certification is required.
  • Proficiency in Microsoft Office Suite, including Excel, Project, Word, and Outlook.
  • Strong project management, organizational, and customer service skills.
  • Ability to build collaborative relationships across teams.
  • Comfortable with a variety of technology hardware and software.
  • Proven ability to thrive in a fast-paced environment, managing multiple tasks and deadlines.
  • A results-oriented, proactive team player dedicated to achieving goals.
