Job Overview:

The Administrative Specialist plays a crucial role in the Central Land Office (CLO) by coordinating various fiscal and program administration activities. This position requires strong organizational and communication skills to ensure the efficient use of resources and compliance with state and federal regulations.

Essential Functions:
  • Fiscal Operations:
    Perform Area accounting, budgeting, and related fiscal activities to ensure accuracy and compliance. Provide managers with necessary information for effective budget administration.
  • Administrative Operations:
    Perform CLO and Helena Unit administrative operations, including contract administration, procurement, personnel, data management, and fire business administration. Ensure compliance with state and federal regulations and best practices in business administration.
  • Customer and Administrative Support:
    Provide administrative and technical support to internal and external customers to meet their needs and program requirements in an efficient manner.

The position requires close relationships with the Unit manager and Unit Administrative Assistants. Works closely with division Fiscal and bureau staff. Holds a State of Montana Notary certificate.

Minimum Qualifications:

The position requires education and experience equivalent to a bachelor's degree in business administration, accounting, or a related field. Requires knowledge of program administration, including governmental accounting and budgeting, contract and lease administration, procurement, business communication, and information systems operation and troubleshooting.

Requires skill in the use of standard and specialized office software, prioritizing projects, verbal and written communication, budgeting, and business management. Ability to establish and maintain effective working relationships with others, communicate effectively verbally and in writing, analyze, interpret, and explain financial data, and interpret federal and state laws and regulations.
