Parexel, a leading Clinical Research Organization, is seeking an exceptional Corporate Administrative Support Specialist to support the Executive Assistant to the CEO. This role is critical in ensuring seamless operations and providing secondary support to the CEO's office.

The ideal candidate will be highly organized, proactive, and able to handle multiple tasks with discretion and professionalism. This role requires the ability to work effectively both in-office and remotely.

We are looking for individuals who possess excellent problem-solving and analytical skills, demonstrate impeccable communication skills, and have a passion for excellence in administrative support. The successful candidate will provide high-level administrative support, manage complex schedules, plan seamless travel itineraries, and coordinate events and meetings.

Key Responsibilities:

  • Manage complex calendars and schedule meetings, appointments, and travel arrangements
  • Work closely with the CEO's office
  • Assist the CEO's Executive Assistant in managing daily administrative tasks
  • Act as secondary point of contact for internal and external stakeholders
  • Help schedule meetings as directed
  • Organize and maintain files and records
  • Coordinate and plan events, meetings, and conferences
  • Handle sensitive and confidential information with discretion
  • Assist with special projects and research as assigned
  • Provide administrative support to other C-level executives at times
  • Compose and submit expense reports

Requirements:

  • 3-5+ years of experience as an executive assistant or in a similar role in a fast-paced environment
  • Excellent verbal and written communication skills, strong organizational and time management abilities, an eye for detail, the ability to multitask, and work under pressure
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with Concur or a similar expense report management tool
  • Bachelor's degree or equivalent work experience
