Job Summary

The Administrative Assistant will provide high-quality administrative support to the Program Director and multi-disciplinary team at WES Health System. This role is responsible for ensuring all aspects of administrative support are provided, including performing general and complex tasks to ensure positive workflow.

Key Responsibilities
  • Comply with all program requirements and perform duties at designated program locations.
  • Perform duties in a cost-efficient manner by judicious use of supplies and safeguarding of equipment.
  • Assist assigned departments in achieving their mission by taking ownership and managing administrative and clerical functions.
  • Receive residents and visitors professionally and courteously.
  • Coordinate calendars, arrange meetings, trainings, conferences, interviews, and appointments.
  • Prepare correspondence, reports, statements, spreadsheets, presentations, and rosters.
  • Take dictation and meeting minutes.
  • Maintain filing systems in an organized manner, ensuring ease in retrieval of information.
  • Answer, screen, and route incoming telephone calls.
  • Answer inquiries concerning activities and operations of assigned area.
  • Maintain adequate supply inventory.
  • Sort, review, and distribute mail appropriately.
  • Anticipate department needs and implement plans for effective completion of assigned responsibilities.
  • Represent assigned areas and overall facility in a positive, professional manner.
Requirements
  • High school diploma or equivalent required.
  • Associate degree or college credits preferred.
  • 1-3 years performing administrative/secretarial duties and customer service experience required.
  • Previous experience in a healthcare environment preferred.
  • Bilingual capabilities a plus.
