Job Summary

The Administrative Coordinator provides high-level administrative support to the Associate Director of Hospital Medicine, focusing on delivering exceptional customer service, driving patient satisfaction, and ensuring seamless operations.

Key Responsibilities
  • Calendar Management: Coordinate meetings, prepare materials, and communicate schedule changes to ensure smooth operations.
  • Event Planning: Assist in planning and executing events, including invitation management, catering, room scheduling, and audio-visual setup.
  • Communication: Respond to inquiries, communicate with stakeholders, and disseminate information to ensure effective collaboration.
  • Critical Thinking: Troubleshoot issues, work independently, and escalate concerns to management as needed.
  • Document Preparation: Draft letters, PA52s, and other documents, as well as generate reports, PowerPoint slides, and charts.
  • Organization: Maintain accurate and up-to-date filing systems, office supplies, and employee files.
  • Office Support: Process Pennfor requests, receive and distribute mail, and perform other administrative tasks as assigned.
  • CME and Grand Round coordination, including processing physician expenses.
Qualifications
  • High School Diploma (Required)
  • 3+ years of administrative office experience (Required)
