Administrative Coordinator

The Administrative Coordinator provides high-level administrative support to the Associate Director of Hospital Medicine, focusing on delivering exceptional customer service, driving patient satisfaction, and ensuring seamless operations.
Key Responsibilities- Calendar Management: Coordinate meetings, prepare materials, and communicate schedule changes to ensure smooth operations.
- Event Planning: Assist in planning and executing events, including invitation management, catering, room scheduling, and audio-visual setup.
- Communication: Respond to inquiries, communicate with stakeholders, and disseminate information to ensure effective collaboration.
- Critical Thinking: Troubleshoot issues, work independently, and escalate concerns to management as needed.
- Document Preparation: Draft letters, PA52s, and other documents, as well as generate reports, PowerPoint slides, and charts.
- Organization: Maintain accurate and up-to-date filing systems, office supplies, and employee files.
- Office Support: Process Pennfor requests, receive and distribute mail, and perform other administrative tasks as assigned.
- CME and Grand Round coordination, including processing physician expenses.
- High School Diploma (Required)
- 3+ years of administrative office experience (Required)
