About the Job

The University of Maine is seeking an experienced Administrative Specialist to provide administrative, bookkeeping, and facility management support to the Kennebec County Cooperative Extension Office in Augusta.

Key Responsibilities
  • Administrative Support: Provide a wide range of administrative duties in support of Extension faculty, staff, volunteers, and programs, including customer service, word processing, database management, website maintenance, account reconciliation, purchasing, and building management.
  • Office Operations: Oversee daily operations of the office, including answering phone calls, triaging client requests, and managing mail and visitors.
  • Financial Management: Handle office bookkeeping, including bank deposits, account reconciliations, and processing confidential information.
  • Database Management: Maintain databases, including 4-H database and MyTurn database, and produce reports as needed.
  • Communication: Compose, edit, and review correspondence, reports, and other documents, and provide timely and accurate information to the public.
  • Event Support: Provide support for events, including printing name tags, purchasing and mailing materials, and managing event registration.
  • Professional Development: Engage in continuing professional development opportunities to build upon skills and knowledge.
Requirements
  • Education: 60 credits or more of higher education or equivalent work experience and training.
  • Experience: Approximately three years of administrative support experience in accounting, office management, or a related field.
  • Skills: Significant knowledge of financial and purchasing procedures, systems, record-keeping, policies, and experience with database usage, Microsoft Office applications, and Google Drive.
  • Interpersonal Skills: Excellent interpersonal skills and the ability to interact effectively with diverse groups of constituents.
