The candidate will undertake various administrative and clerical tasks, including but not limited to:

Key Responsibilities

  • Managing the main telephone line
  • Welcoming guests and new hires
  • Opening and closing the reception area, ensuring cleanliness in communal spaces
  • Performing miscellaneous administrative duties as needed, such as filing, data entry, and ordering office supplies
  • Processing expense reports for team members
  • Coordinating meetings, preparing agendas, arranging catering, and documenting meeting minutes
  • Maintaining team schedules
  • Preparing AIA documents as required
  • Composing and typing routine correspondence, AIA contracts, meeting notes, punch lists, field reports, and letters
  • Transcribing memos, letters, and field reports for assigned teams
  • Reserving and maintaining conference room appearances following meetings
  • Answering and screening phone calls, facilitating conference calls
  • Coordinating travel arrangements for team members, including flights, car rentals, hotels, and other necessary bookings
  • Greeting scheduled visitors and directing them to the appropriate area or personnel
  • Preparing intra- and inter-office mail, outgoing correspondence, including emails, couriers, and deliveries
  • Assisting with marketing initiatives, including creating and editing presentations, updating resumes, and submitting proposals
  • Supporting special projects and conducting research as needed

Candidate Qualifications

This position will report to the Office Services Manager and will provide support to multiple teams with a collaborative relationship to team leaders.

Ideal candidates should demonstrate strong organizational and communication skills, along with a keen attention to detail and a proactive attitude. The ability to manage multiple tasks and prioritize effectively is essential. A Bachelor's or Associate's degree is preferred, along with 5+ years of relevant experience or an equivalent combination of education and experience. Proficiency in MS Office is required, and familiarity with PowerPoint and Excel is advantageous.
