Position Summary:

The Office Operations Coordinator (OOC) provides comprehensive administrative and organizational support to designated Section Managers and association members under general supervision. The OOC is expected to maintain an in-depth understanding of the organization, offer information, resolve common issues, and identify the most effective methods to assist the Sections. Exceptional customer service skills and a strong problem-solving ability are essential for this role.

Key Responsibilities:

  • Deliver administrative assistance to CLA Sections and staff, including but not limited to updating member rosters, liaising with Section leaders and CLA personnel, scheduling both virtual and in-person meetings, and coordinating conference calls.
  • Review and process requests for virtual educational programming.
  • Maintain event timelines and calendars.
  • Handle expense reimbursements, check requests, invoice payments, and expense reconciliations.
  • Support the planning and execution of Section events and projects.
  • Perform additional administrative tasks as required.

Qualifications:

  • High school diploma or equivalent.
  • A minimum of three years in an administrative capacity.
  • Proficiency in Microsoft Office Suite, QuickBooks, or similar accounting software, along with familiarity with customer management systems.
  • Excellent communication and interpersonal abilities.
  • Capability to work independently as well as collaboratively within a team.
  • Strong attention to detail and accuracy.
  • Flexibility and adaptability in a dynamic work environment.
