Job Overview

The Senior Executive Assistant will deliver essential high-level administrative assistance and project coordination to empower the COO in maximizing their effectiveness and efficiency. This role encompasses managing and prioritizing the commitments and schedules of C-suite executives, facilitating both internal and external meetings, organizing travel logistics, and supporting office operations.

Key Responsibilities:
  • Oversee executive calendars, schedule meetings, and adeptly manage competing priorities.
  • Understand the COO's objectives and priorities to proactively meet their needs and function as a strategic partner.
  • Act as a liaison, ensuring seamless communication between the executive and stakeholders, while fostering credibility and trust with the Executive Team.
  • Draft and prepare communications on behalf of the Executive, including meeting agendas, summaries, and email correspondence.
  • Maintain organization of documents, files, and critical information, ensuring accessibility and confidentiality.
  • Serve as the point of contact for direct reports and all FairCom employees.
  • Coordinate and arrange travel for Executives and Senior Leaders.
  • Function as Office Manager, collaborating with the Administrative Assistant and Director of Operations to ensure efficient office operations and support for employees.
  • Provide backup support for administrative team members, including reception and office services.
  • Assist in organizing company-wide events such as team meetings, catered meals, and office gatherings.
  • Support expense reporting and budget management.
  • Oversee priority projects and tasks, ensuring timely and budget-compliant completion.
  • Collaborate with senior executives to formulate and implement strategic initiatives aligned with company objectives.
  • Conduct research, analyze data, and prepare reports to facilitate informed decision-making.
  • Demonstrate proficiency in technology by staying current with relevant software and tools to enhance productivity.
  • Partner with Human Resources to facilitate candidate interviews with executives and manage onboarding and offboarding processes.
  • Engage in ad hoc projects as assigned by Executives, the Director of Operations, and other Senior Leaders.
Qualifications:
  • Minimum of 1 year of experience supporting C-level Executives, preferably within the software sector.
  • Exceptional organizational skills and meticulous attention to detail, particularly in complex calendar management.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Capacity to anticipate needs and adapt to shifting priorities.
  • Proficient in Microsoft Office and Google Suite.
Preferred Qualifications:
  • A formal bachelor's degree in a business-related field such as Communications or Business Administration.
