The Senior Executive Coordinator will deliver essential high-level administrative assistance and project oversight to enhance the COO's efficiency and effectiveness in their responsibilities. This role encompasses managing and prioritizing the commitments and schedules of C-suite executives, coordinating both internal and external meetings, arranging travel logistics, and supporting office management functions.
Key Responsibilities:- Oversee executive calendars, schedule meetings, and adeptly manage competing priorities.
- Understand the COO's objectives and priorities to proactively address their needs, functioning as a strategic partner.
- Act as a liaison to facilitate seamless communication between the executive and stakeholders, fostering credibility and trust with the Executive Team.
- Prepare and generate communications on behalf of the Executive, including meeting agendas, summaries, and email drafts.
- Organize and maintain essential documents, files, and confidential information for easy access.
- Serve as the point of contact for direct reports and all FairCom employees.
- Coordinate and arrange travel for Executives and Senior Leaders.
- Assist in office management duties, collaborating with the Utah Administrative Assistant and Director of Operations to ensure operational efficiency.
- Provide backup support for administrative team members, including reception and office services.
- Support company-wide events such as team meetings, catered meals, and office gatherings.
- Assist with expense reporting and budget management.
- Oversee high-priority projects and tasks, ensuring timely and budget-compliant completion.
- Collaborate with senior executives to develop and implement strategic initiatives aligned with the company's vision.
- Conduct research, analyze data, and prepare reports to aid in decision-making processes.
- Demonstrate technology proficiency by staying current with relevant software and tools to enhance productivity.
- Partner with Human Resources to facilitate candidate interviews with executives and manage onboarding and offboarding processes.
- Engage in ad hoc projects as assigned by Executives, the Director of Operations, and other Senior Leaders.
- Minimum of 1 year of experience supporting C-level Executives, preferably within the software sector.
- Exceptional organizational skills and meticulous attention to detail, particularly in calendar management.
- Ability to maintain confidentiality and exercise sound judgment.
- Proactive in anticipating needs and adapting to shifting priorities.
- Proficient in Microsoft Office and Google Suite.
- A formal bachelor's degree in a business-related field such as Communications or Business Administration.
