Key Responsibilities:
  • Oversee executive calendars, schedule meetings, and adeptly manage competing priorities.
  • Understand the COO's objectives and priorities to proactively address their needs, functioning as a strategic partner.
  • Act as a liaison to facilitate seamless communication between the executive and stakeholders, fostering credibility and trust with the Executive Team.
  • Prepare and generate communications on behalf of the Executive, including meeting agendas, summaries, and email drafts.
  • Organize and maintain essential documents, files, and confidential information for easy access.
  • Serve as the point of contact for direct reports and all FairCom employees.
  • Coordinate and arrange travel for Executives and Senior Leaders.
  • Assist in office management duties, collaborating with the Utah Administrative Assistant and Director of Operations to ensure operational efficiency.
  • Provide backup support for administrative team members, including reception and office services.
  • Support company-wide events such as team meetings, catered meals, and office gatherings.
  • Assist with expense reporting and budget management.
  • Oversee high-priority projects and tasks, ensuring timely and budget-compliant completion.
  • Collaborate with senior executives to develop and implement strategic initiatives aligned with the company's vision.
  • Conduct research, analyze data, and prepare reports to aid in decision-making processes.
  • Demonstrate technology proficiency by staying current with relevant software and tools to enhance productivity.
  • Partner with Human Resources to facilitate candidate interviews with executives and manage onboarding and offboarding processes.
  • Engage in ad hoc projects as assigned by Executives, the Director of Operations, and other Senior Leaders.
Qualifications:
  • Minimum of 1 year of experience supporting C-level Executives, preferably within the software sector.
  • Exceptional organizational skills and meticulous attention to detail, particularly in calendar management.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proactive in anticipating needs and adapting to shifting priorities.
  • Proficient in Microsoft Office and Google Suite.
Preferred Qualifications:
  • A formal bachelor's degree in a business-related field such as Communications or Business Administration.
